Our client is a private investment firm that focuses on global real estate, is seeking an Office Manager and Administrator for its Chicago office.
Responsibilities:
Welcome visitors and direct them appropriately
Answer, screen, and forward any incoming phone calls while providing basic information when needed
Maintain security by following procedures and controlling access
Manage and update conference room reservations within Outlook
Manage work orders with building management company for repairs as needed
Maintenance and management of calendars for several executives utilizing Microsoft Outlook
Working with AmEx travel desk, arrange all travel for executives including flights, hotels, car rentals & services
Possess strong skills in Concur for expense report processing, ensuring compliance with the T&E Policy
Coordination of internal and external meetings to include room reservation, dial in conference call numbers, equipment set-up, catering, and all meeting agendas & materials
Requirements:
3+ years of experience
Prior experience within private equity or financial services is preferred
Notary license required, or willing to obtain notary license
Proficiency in Microsoft Office
Must be able to handle confidential information with the appropriate level of discretion
