Job Description
The ideal candidate for this role is a PEIMS and attendance subject matter expert who has demonstrated the ability to lead teams through large scale, transformative change, build a positive, student oriented culture and implement sustainable, quality controlled systems. This leader must be able to drive results at scale, effectively manage a geographically dispersed team and impact outcomes through a matrixed structure. This leader must also have demonstrated effectiveness in the key areas of routine auditing, on-time, error-free State, Federal and other required reporting and differentiated training at all levels of the organization in alignment with department priorities.
Key Responsibilities
Reports and Submissions
- Coordinate the collection, integration, and formatting of all data required for PEIMS submission according to PEIMS Data Standards.
- Establish timelines and distribute a calendar of PEIMS related deadlines for PEIMS Submissions, capturing, processing, verifying, and reporting data to TEA.
- Develop procedures to collect student data as required by the rules and regulations stated in the Student Attendance Accounting Handbook and the PEIMS Data Standards in order to produce accurate and timely Texas Education Agency reports.
- Provide edit reports for district verification to provide security, privacy, and compliance with all applicable state and federal laws and sound principles of student accounting.
- Provide appropriate district and campus-level reports as requested by district/campus personnel.
- Utilize research and diagnostic problem solving techniques to resolve problems.
- Coordinate the collection, integration, and formatting of all data required for PEIMS submission according to PEIMS Data Standards.
- Responsible for the submission of fall, mid-year, summer and extended year programs reports to the state.
- Run edits, reports and verification checks on data to ensure accuracy of information.
- Distribute edits and reports to appropriate staff for analysis, verification, and correction.
- Comply with the following District standards for Texas and Federal attendance accounting laws and procedures in the Student Attendance Accounting Handbook.
- Responsible for assigning Texas State Service ID's for all state approved courses as described in the PEIMS Data Standards.
- Responsible for PID reporting: (Personal Identification Database) error percentage standards as described in the PEIMS Data Standards.
- Responsible for PET reporting (PID enrollment tracking) as required by TEA PEIMS.
- Responsible for facilitation of KIPP Foundation, grant and other third party reporting derived from PEIMS data or related student data activities
- Produce PEIMS-related (attendance, discipline, special populations, etc.) reports and data analysis as requested.
- Facilitate and submit Early Childhood Data Collection.
Auditing
- Develop sustainable, effective auditing systems for all areas of student data reports/submissions
- Conduct random audits to include, but not limited to, student attendance, special population data, discipline and provide feedback to district/campus administrators of compliance with standards.
- Responsible for data quality compliance and monitoring with Performance Based Monitoring Data Validations.
Training and Technical Support
- Conduct training programs for central administration and campus level personnel with respect to data collection, software changes and PEIMS requirement changes.
- Prepare and distribute documentation of procedures used in the collection of PEIMS related information.
- Provide training and support to campuses and to business and personnel office staff responsible for processing PEIMS data.
- Receive PEIMS-related information from ESC and TEA and disseminate to other staff in a timely manner, including updates to PEIMS Data Standards.
- Attend staff development appropriate to job responsibilities and disseminate to other staff in a timely manner
- Responsible for developing training materials, train and monitor district personnel in areas related to PEIMS compliance.
- Train and monitor campus personnel on TREx submissions.
Other
- Oversee and progress monitor the Master Calendar process including data entry at schools, SL and regional approval on-time completion at the state level.
- Comply with policies established by federal and state law, State Board of Education rule, and local board policy.
- Compile, maintain, and file all physical and computerized reports, records, and other documents required.
- Coordinate communication with software vendor representatives regarding Skyward questions.
- Perform other duties as assigned.
- Develop and maintain a strong sense of customer service.
- Communicate with various stakeholders including campus personnel, district and state administrators, other Districts’ PEIMS personnel, etc.

Required Education and/or Experience:
- Five years of district level experience in student information systems
- Experience in PEIMS Collection methods
- Experience in Student Information/Financial Management/HR Software
- Experience developing training materials and presentations Experience with Civil Rights Data Collection

Travel Requirements:
- Ability to travel to various locations, travel time approximately 20% - 30% with the majority required at the start/middle and end of the school year.
