The Opportunity

The High School Registrar assumes primary responsibility for the technical and clerical recordkeeping duties and functions related to the permanent academic records at KIPP Columbus High School.  This role reports to the High School Leader.

Job Description

Key responsibilities include, but are not limited to, the following:

  • Perform various technical and complex clerical record-keeping duties related to the permanent records of high school students according to established policies and procedures and in compliance with school and state education policies.
  • Prepare and maintain permanent records, cumulative and special education files, and demographic information on past enrolled and incoming students; request necessary records and initiate telephone and written communication with previous schools related to student record history. 
  • Collects, maintains and prepares key student data related to instruction, including but not limited to, transcripts, report cards, student grades, student credit acquisition, and progress to graduation 
  • Works with the Manager of College and Career Counseling, School Leader, and Operations Leader to facilitate the annual master scheduling process and ensures students are enrolled in appropriate courses in alignment with graduation requirements and school policies
  • Audits transcripts on an ongoing basis, and schedule students as appropriate in the coursework that ensures they are on track to graduate 
    • Interpret and analyze incoming student national and international transcripts and transcribe to conform to State and KIPP Columbus requirements; enter student grades in computer to create a course history file and transcript; notify High School leadership team and KIPP Forward teams of student credit deficiencies or unusual placement possibilities. 
  • Communicate with students, parents, administrators, teachers and staff to assure student records are current and accurate; communicate graduation deficiencies and eligibility to appropriate leaders, parents and counselors; communicate with a variety of stakeholders, parents, alumni and outside agencies to exchange information, resolve issues, answer questions and coordinate activities. 
  • Retrieve files and print transcripts; process and forward transcripts, secondary school reports and records to colleges and other institutions from student permanent records according to established guidelines and procedures; assure compliance with deadlines and requirements to assure potential student acceptance; verify student information for athletic eligibility, school admissions, background checks and other inquiries. 
  • Supports high school student enrollment and withdrawal process, along with student recruitment and attending and participating in enrollment events throughout the year.  
  • Other duties as assigned.

Qualifications

  •  
  • Bachelor's Degree Required
  • 1 or more years of school registrar experience in a school setting performing student record keeping duties and tracking of student performance.  
  • Knowledge of transcript evaluation and student enrollment procedures and requirements highly preferred.
  • Knowledge of state and school requirements for graduation is highly preferred.  
  • Knowledge of state regulations regarding permanent student records maintenance and confidentiality.
  • Belief that outstanding school leaders, staff, and teachers can achieve excellent outcomes for all students.
  • Ability to persevere with a sense of optimism, strong problem solving skills, and desire to learn and grow in a collaborative professional learning community.
  • Willingness, and commitment, to go above and beyond to prove the possible with students.
  • Ability to multi-task and work within an ambiguous, fast-moving, start-up environment, while driving toward clarity and solutions.
  • Excellent written and oral communication skills.
  • Extreme flexibility, with a strong work ethic and an entrepreneurial spirit to accommodate high levels of responsibility and multiple priorities.

Compensation and Benefits

KIPP Columbus offers a competitive salary robust benefits package including medical, dental, and vision insurances as well various voluntary benefits (such as short term disability, long term disability, life insurance, and participation in the Ohio SERS/STRS retirement plan.)  We also offer seasons of life support with 10 weeks paid maternity leave and 4 weeks paid spousal leave/adoption leave.
