Summary
The Senior Administrative Assistant performs a higher level of support on a variety of administrative functions – specifically for 1919 Investment Counsel (“1919ic”) Portfolio Managers and their teams. S/he will serve as a backup to peers and work to facilitate the smooth operation of day-to-day 1919ic New York office activities.
Essential Duties and Responsibilities
• Assist the Portfolio Managers and their Associates by maintaining calendars, scheduling appointments, meetings, and conference calls as needed; prepare agendas and arrange for meetings (room reservations, catering, etc.).
• Prepare client meeting materials, including running standard investment reports and sourcing data from multiple software systems, including Salesforce and Advent APX. Format and finalize presentations in Microsoft PowerPoint and Adobe Acrobat Pro. Print, bind, and ship presentations as needed.
• Input client and prospective client information into Customer Relationship Management (CRM) database (Salesforce), and manage updates and reports.
• Manage physical and electronic client mailings through Salesforce.
• Make domestic and international travel arrangements via online system (SAP Concur) in accordance with Firm and department policy for 1919 Portfolio Managers and Associates as appropriate.
• Process all expenses by creating reports via Corporate Accounting electronic expense system (SAP Concur) in accordance with Firm and department policy for Portfolio Managers and Associates as appropriate.
• Coordinate with other New York office Administrative Assistants to collect and distribute mail, order office supplies, and submit invoices.
• Operate and maintain office equipment such as fax machines and copiers; troubleshoot issues when appropriate.
• Greet visitors and callers and direct them to appropriate individual/group, handle/respond to inquiries, take messages, and transfer/direct to appropriate party for assistance, research questions; resolve problems.
• Handle highly confidential information involving client information, deals, etc. with utmost discretion.
Qualifications
• Knowledge of administrative and clerical procedures and systems such as MS Office (Word, Excel, PowerPoint, File Explorer)
• Ability and willingness to adopt new technology and software systems
• Excellent communication and problem-solving skills
• Strong organizational and time management skills
• High level of attention to detail and accuracy
• High level of professionalism and confidentiality
Education and Experience
• Minimum Required: High School Diploma, Bachelor's Degree preferred
• Minimum Required: 4-6 years of related field experience
Systems and Technology
• Proficient in Microsoft Excel, Word, PowerPoint, File Explorer, Outlook
• Familiarity with Salesforce, Advent APX, and Box document storage a plus but not required.
Salary: $62,000 - $93,000 per year
