The primary role of the Project Administrator is to provide administrative support for project managers and technical professionals on engineering and architecture projects.

Essential Skills & Abilities

  • Ability to organize and triage priorities based the scope of work and project deadlines.
  • Proficient in the use of Microsoft Office software and Microsoft Business Essentials communication tools.
  • Ability to learn and navigate through numerous databases.
  • Skilled in effective written and verbal communication.
  • Ability to produce accurate detailed documents.
  • Demonstrate experience in collaborating with others.
  • Able to independently follow established administrative standards and procedures.
  • Skilled in coordinating schedules and setting up meetings and appointments.
  • Willingness to learn the process for Engineer Joint Contract Document Committee (EJCDC) and American Institute of Architect (AIA) contract documents.

Technical Administrative Support (65%)

  • Assist Project Managers in the management of engineering and architecture projects, including but not limited to:
    • Preparing proposals
    • Managing EJCDC and AIA contract documents
    • Construction administration support
    • Facilitating project invoicing and collections
    • Closing out of projects
    • Management of project information in project management/accounting database (Deltek VantagePoint), including data entry and report generation.
    • Assist engineers and architects in the development of technical engineering studies and reports and specifications.

General Administrative Support (25%)

  • Assists all other departments/disciplines as necessary to ensure the C2AE teams are supported effectively; this may include but not limited to:
    • Assist technical professionals in arranging subscriptions, conferences, and other professional development endeavors.
    • Complete special projects as assigned by Project Managers.
    • Participate in the reception of visitors during others’ breaks, lunches, and absences.
    • Scheduling of meetings and site visits for and by technical professionals.

Education/Experience Qualifications

  • High School Diploma or equivalent required.
  • 5+ years of experience in an administrative assistant role desired.
  • Work experience in construction administration, consulting, or design firm preferred.
  • Associate’s degree desired.

Work Environment

  • Work will be performed indoors in an office setting with prolonged sitting or standing for long periods of time.

Hours

8:00am - 5:00pm (flexible)

Wage

$19.00 - $25.00/hour
