Company Description

About KIPP NYC:
KIPP NYC Public Schools is a non-profit network of 18 free, public charter schools in the Bronx, Brooklyn, and Manhattan. We partner with families and communities to create joyful and rigorous schools in pursuit of a more just world. In 1995 we started our first middle school, KIPP Academy, in the Bronx, with a vision that every child grows up free to create the future they want for themselves and their communities. Today, our network consists of eight elementary schools, nine middle schools, one high school, and KIPP Forward, a comprehensive program to support our students and alumni in choosing and preparing for the educational and career paths that fit their goals and sense of purpose. KIPP NYC currently serves more than 12,000 students and alumni, has a staff of more than 1,000 (8% of whom are alumni), and continues to grow!

Job Description

Position Overview:

The school operations administrator is responsible for overseeing the school office, and maintenance of office equipment, and acts as the first point of contact for families and visitors to the school. Specifically, the SOA is responsible for maintaining complete student files for each child, serving as the manager of student health and medical information, and playing a critical role in the school’s day to day operations. The SOA works as the lead in executing advocacy tasks and managing core family engagement efforts, such as supporting the school’s KIPP Family Association and ensuring high attendance at family events. The SOA reports directly to the School Operations Manager.

Duties and Responsibilities:

General responsibilities include (but are not limited to):

  • Daily Operations Support: Assist with core systems, including student arrival, attendance, transitions, lunch/recess, and dismissal. Perform assigned daily duties and serve as the main office's first contact for students, staff, families, and visitors.
  • Communication & Interaction: Tailor communication to different audiences, fostering a supportive environment. Respond to emails/calls within 24-48 hours and ensure others feel valued and supported.
  • Data & Compliance: Execute daily attendance processes, maintain accurate student files, and ensure completion of immunizations and lunch forms. Assist with ATS tasks, data submissions, and MetroCard distribution.
  • Event & Office Management: Support event logistics, such as setup and food orders. Manage the main office, ensuring it is clean, welcoming, and continuously staffed. Handle phone calls, manage student documents, and positively interact with students and families.
  • Family Communications & Advocacy: Create and proofread flyers/notices for families. Lead advocacy deliverables and support KIPP Family Association events.
  • Student Health & Safety: Address student health needs and communicate with the school nurse as necessary.
  • Act as a Building Response Team (BRT) member, assisting in emergencies.
  • Ensure supplies are stocked and office equipment is functional.
  • Fully engage in school activities, including field trips and enrichment programs, contributing to the school’s mission.

Qualifications

  • Strong interpersonal skills that contribute to a collegial working environment and a healthy measure of the character traits we value: zest, grit, hope, love, social intelligence, gratitude, and a sense of humor.
  • Basic proficiency in Microsoft Office and school operations systems; computer literate.
  • Outstanding written and oral communication skills; effectively communicates with diverse backgrounds.
  • Takes responsibility for impact, adjusts accordingly, and embraces growth opportunities.
  • Excellent at prioritization, with high attention to detail.
  • Proactive, and able to manage high responsibility levels.
  • Passionate about supporting the mission of KIPP NYC and dedicated to professional growth.
