Part-Time, 24 hours per pay period:

Saturdays & Sundays, 5a-11a


Village Care Center

Prior staffing experience preferred.
Experience working with Kronos Workforce Development a plus.

JOB SUMMARY

Staffing Assistant allocates and schedules all direct care nursing department staff in all of the Village Care Center’s 5 Care Neighborhoods.  This includes working under the direct supervision of the Administrative Support Supervisor for the duty shift.  Scheduling coordination requires the Staffing Assistant to achieve nursing staffing levels consistent with the staffing requirements published by Nursing Administration.  Such coordination requires working with all nursing personnel to develop/revise daily shift based staffing schedules, track attendance compliance and make immediate changes as necessary to prospective nursing shift schedules to ensure adequate staffing is achieved for each nursing shift. Supportive of the Village’s mission, values, and service/hospitality (PRIDE) expectations.  Completes training hours as required by policy.

ESSENTIAL JOB FUNCTIONS

  • Provides oversight of the shift-nursing schedule for all VCC Care Neighborhoods to ensure that published minimum staffing levels are achieved for each VCC nursing shift.
  • Proactively contacts staff on and off duty to confirm their current schedule expectation commitments and then compare these expectations with the minimum staffing required targets.
  • Monitors nursing staff attendance and inform unit managers when noticing a trend generated by excessive call-ins, tardies, and incomplete shifts.
  • Assists in creating, publishing and updating the monthly permanent nursing schedule based upon changes requested by nursing staff.
  • Processes requests for time off from nursing staff and ensure that all changes are immediately incorporated into the permanent schedule, as well as the published Staffing Sheets.
  • Accurately transcribe nursing staff monthly calendars and daily sign up sheets, each shift, for use on the daily staffing schedule.
  • Informs Nursing Administration and tracks ongoing overtime utilization and makes immediate changes to staff schedules so that overtime usage remains below budgeted targets.
  • Continuously update the daily Staffing Sheets so that there are at least five days (10 shifts) published at all times.
  • Communicates effectively to the next shift.
  • Adheres to all safety regulations and requirements.
  • Handles stress well and gets along with others within the workplace and with customers outside the department.
  • Maintains acceptable standards of workplace conduct.

 The responsibilities described above represent the primary responsibilities of the job.  Other responsibilities may be assigned by the supervisor as warranted by business needs.  The incumbent is expected to perform all assigned responsibilities.

ESSENTIAL QUALIFICATIONS

Education: 

  • This position requires the level of education typically acquired by a course of study leading to a high school diploma or GED.

Knowledge and Skills (required unless otherwise noted):

  • Beginner level keyboarding skills required
  • Beginner level knowledge of Microsoft Windows and Microsoft Word
  • Intermediate level knowledge of Microsoft Excel and Microsoft Outlook
  • Ability to prioritize tasks.
  • Ability to work independently.
  • Ability to handle heavy telephone work.
  • Ability to work irregular hours.
  • Ability to speak in simple sentences.
  • Ability to read and comprehend simple instructions, short correspondence, and memos.
  • Ability to add and subtract two digit numbers and to multiply and divide with 10’s and 100’s.
  • Ability to apply common sense understanding to carry out detailed but straight-forward written or oral instructions.
  • Ability to effectively present information in one-on-one and small group situations to customers, clients and other employees of the organization.
  • Excellent customer service and relationship building skills.

Experience: 

  • A minimum of one year of experience in health care is required. A minimum of one year clerical experience, preferably in a staffing office, is preferred.

SPECIAL WORKING CONDITIONS

  • The employee is subject to inside environmental conditions: Protection from weather conditions but not necessarily from temperature changes. 
  • Environment provides adequate lighting working in close and constant proximity to equipment and healthcare providers.
  • All associates may be called upon to assist other departments in a declared emergency situation.

  • Pulling: Using upper extremities to exert force in order to draw, drag, haul or tug objects in a sustained motion.
  • Lifting: Raising objects from a lower to a higher position or moving objects horizontally form position to-position. 
  • Fingering: Picking, pinching, typing or otherwise working, primarily with fingers rather than with whole hand or arm as in handling.
  • Grasping: Applying pressure to an object with the fingers and palm.
  • Feeling: Perceiving attributes of objects, such as size, shape, temperature or texture by touching with skin, particularly that of fingertips.
  • Talking: Expressing or exchanging ideas by means of the spoken word; those activities where detailed or important spoken instructions must be conveyed to other workers accurately, loudly, or quickly.
  • Hearing: Perceiving the nature of sounds at normal speaking levels with or without correction, and having the ability to receive detailed information through oral communication, and making fine discriminations in sound.
  • Repetitive motions: Making substantial movements (motions) of the wrists, hands, and/or fingers.
