Position Summary: The Confidential Secretary will provide administrative and support services exclusively to the Municipal Council. This role is responsible for the efficient management of Council records, coordinating meeting logistics, and ensuring compliance with local, state, and federal laws. The ideal candidate must possess strong organizational, communication, and confidentiality skills. Key Responsibilities: Council Support: Assist Council members in their day-to-day activities and ensure they have the necessary information and materials for meetings and decision-making. Meeting Coordination: Schedule and coordinate Council meetings, including securing venues, arranging necessary equipment, and managing communication with external parties. Confidentiality: Handle sensitive information with discretion and confidentiality, adhering to legal and ethical guidelines regarding public records and privacy. Administrative Support: Manage correspondence and communications on behalf of the Council, ensuring timely responses and proper documentation. Assist in the preparation of various reports and presentations for Council members. Compliance and Regulations: Stay informed about changes in local, state, and federal laws relevant to municipal operations and ensure the Council remains compliant. Provide information and support to Council members in understanding legal and procedural requirements. Public Relations: Serve as a point of contact for members of the public regarding Council-related inquiries and direct them accordingly. Qualifications: Bachelor’s degree in public administration, business administration, or a related field preferred. Prior experience in municipal government or administrative support roles is advantageous. Knowledge of municipal laws, regulations, and governance processes is beneficial. Excellent written and verbal communication skills. Strong organizational and time management abilities. Proficiency in office software and technology (e.g., MS Office Suite, records management software). Ability to maintain confidentiality and exercise sound judgment in all tasks. Work Conditions: Office environment, with occasional attendance required at evening Council meetings and events. The full-time position may require sitting for extended periods and using a computer for prolonged durations. Salary Range: $41,320.00 – $78,801.00. Salary and benefits are commensurate with experience and qualifications, as determined by the Township Council.
