Administrative Assistant

Department: Resident Services
FLSA/Classification: Hourly/ Non-Exempt - (Full-Time)
Reports to: Director of Resident Services

Job Summary:

Responsible for the conducting of and participating in administrative duties that support the programs benefiting Resident Services.

Essential Duties and Responsibilities include, but are not limited to:

Operations:

  • Provides administrative support to the Department of Resident Services.
  • Acts as the facility's primary contact and coordinator for the practitioner vendors.
  • Responsible for the compiling of the “Here to Help” program billing for the approval process.
  • Assist the “Wellness Nurse” with data entry as needed on the care delivered to the residents participating in designated programs.
  • Assist the DRS with follow-up requests on voicemails, emails, and meetings.
  • Assist the DRS with the scheduling of resident tours.
  • Responsible for assisting the community residents when registering for immunization clinics.
  • Assist the DRS with creating and posting notices for WA residents.
  • Responsible for slotting WA resident mailboxes as necessary.
  • Utilizes appropriate communication techniques related to staff, residents, and visitors.
  • Answers phones promptly, takes clear and concise messages, and forwards messages as appropriate.
  • Maintains a safe and productive work environment.
  • Assist the Health Care Administrator with regulatory staff reporting (PBJ).
  • Other duties as assigned.

  • Computer proficiency using Microsoft Office.

Minimum Education/Skills/Experience/Credentials:

  • One to three years of experience in an office medical facility such as a hospital, or long-term care community.
  • Must have good interpersonal relations with proven communication skills, both verbal and written.

Physical Requirements:

  • Must have the ability to stand and walk for 4-5 hours of an 8-hour shift.
  • Must have the ability to sit for 3-4 hours of an 8-hour shift.
  • Must have the ability to occasionally stoop, bend, and kneel.
  • Must have the ability to use wrists, fingers, and hands for repetitive firm grasping.

Working Conditions:

  • Regular on-site physical presence is required
  • Reliable, predictable, and punctual attendance, to provide effective management of staff, to provide timely service to internal and external customers, and to support uninterrupted business operations and continuous medical care to residents, is required.

Other federally regulated requirements:

  • Must be willing to undergo pre-employment background check, including (MVR) moving vehicle records.
  • Must have or be willing to receive the Flu-Shot Vaccine, and TB testing
  • Must be willing to undergo pre-employment drug screening, to include cannabis.
  • Must be willing to undergo biometric screening.
