Required Education and Experience: High School graduate or GED equivalent. Advanced understanding of medical, insurance, scheduling, customer service, billing/ payment processing and legal terminology. Experience as a supervisor in a related field such as customer service, medical appointment scheduling, billing/payment processing or other similar experience. Proficient in IDX utilization or previous appointment scheduling system.

Essential Functions
Provides General Secretarial / Clinical Support. Prepares, types, distributes memos, correspondence, and reports as directed.

Orders office supplies and distributes accordingly.

Checks references. Audits logs for lab, refrigerator temperature, and sample meds. Assists with prevalence inspection and CAPS survey.

Ensures sites are within state CLIA guidelines and assists with inspections.

Maintains accurate and up to date information on staff relating to performance appraisals and competencies.

Maintain and track required information from staff and physicians.

Backup to Staffing Secretary Will provide backup to staffing secretary for staffing issues.

Oversees Dermatology Reception within Bella Vista Building ensuring a steady patient flow at check in/out.

Monitors time off requests, staffing, corrective actions team meetings, and evaluations.

Assists in orientation of new staff members and ensuring adequate training is provided.

Communicates with providers, staff members and call center to ensure provider scheduling protocols are current and up to date.

Provides Administrative Support-Responsible for confidential and time sensitive material. Assists Clinical coordinator with facilitating purchasing requisitions for areas of the department. Oversees yearly departmental inventory.

Backs up the Administrative assistant with maintaining accurate and up to date information on staff relating to performance appraisals – Maintains and tracks required information from staff and physicians. Facilitates Director and Coordinator in providing performance appraisals in a timely manner. Interface with the Human Resources staff on personnel record keeping and paperwork processing. Maintain accurate position control and organizational chart.

Backs up the Administrative assistant with duties related to KRONOS – Coordinates and manages staff time clock record keeping. Responsible for entering and verifying KRONOS payroll. Runs payroll reports from KRONOS as directed by Director and/or Coordinator. Collect and distribute payroll and associated materials to staff.

Prepares paperwork related to the hiring of new staff and termination of existing staff, including requisitions, transfer requests, change forms, etc. – Assists Director and Coordinator in the preparation, submission, filing, and processing of paperwork associated with the management of personnel.

Assists in on-boarding/off-boarding as needed.

Assists Coordinator with Staffing Schedule-Responsible for helping Coordinator in tracking and direction to staff for staff at all Regional Clinics. Point of contact for questions relating to the staffing schedule for the Regional Clinics.
