Principal Responsibilities and Accountabilities:
Reports to and assists the Business Administrator with financial planning, analysis and reporting to ensure adequate contract funding and company financial goals are met. These include, but are not limited to,
- General secretarial duties to include filing, taking phone calls, scheduling appointments, assisting with research and preparation of presentations and briefing charts.
- Initiates work orders and maintains manual and electronic work order files.
- Runs labor reports, compares to time logged on Maintenance Action Forms, initiates labor corrections, and prepares backup documentation for billing documents.
- Assists site personnel with travel arrangements and expense reporting
- Assists site personnel with obtaining Computer Access Cards, government website access, and base access.
- Assists with maintenance of employee security clearance records.
- Assists with key control records and conducts annual inventories.
- Assists with electronic tracking of all conditional maintenance, modifications, aircraft condition inspections and repairs, depot maintenance, flight hours, travel, contract deductions, work orders, work requests, requests for invoice, etc.
- May assist with preparation of monthly Contract Funds Status Report for each contract fiscal year.
- May assist with contract cost proposals and ROM’s.
- Initiates requisitions or blanket purchase order releases for depot repairs.
- Issues goods received reports and reviews/codes invoices for payment upon completion.
- Assists with preparation and submittal of Monthly Maintenance Plan.
- Assists with posting CDRL’s (reports) to government accessible web site and assists with tracking CDRLs due and date submitted.
- Runs labor reports, compares to time logged on Maintenance Action Forms, initiates labor corrections, and prepares backup documentation for billing documents.
- May also assist with Human Resources office functions, such as applicant contact, interview setup, employee locator tracking sheets, and other recordkeeping as needed.
- Deal with employees, auditors, and the customer in courteous, professional and effective manner.
- Facilitates positive employee to support an environment of integrity, respect, collaboration and effective communications.
- Maintain cleanliness of the work center and around your assigned work area.
- Must comply with established General and Industrial Safety Rules and Regulations as applicable to the contract, facilities and job assignment.
- Document work accomplished on government and company electronic and/or manual Information Systems
- Assist in ensuring the safety, security, inventory and preservation of Government owned and Company owned equipment.
- Ensure compliance with established Company policies/procedures.
- Provide data for Government CDRLs (reports) as required by Contract.
- Must be able to utilize common office equipment.
- Responsible for adherence to and enforcement of the FOD Prevention Program.
- Ensure compliance with required Quality Control policies and inspections.
- Perform all other position related duties as well as other projects and initiatives as assigned.

Position Scope and Charter
- Bachelor’s degree in related management, accounting or HR (preferred), or Associate’s degree with 2 years experience in administrative support, or high school degree with 4 years experience in administrative support
- Must be able to obtain and maintain a DoD security clearance.
- Must have an intermediate knowledge of Microsoft Office Suite (MS Word, Excel and Powerpoint).
- Must have basic computer skills and demonstrate ability to type 30 correct words per minute.
- Must have analytical abilities to manage complex administrative procedures, organizational and time management abilities to work in a fast paced environment and meet deadlines.
- Must meet any other qualification standards imposed by the government contract not covered by this agreement.
- Must have excellent written and verbal communication skills and be able to effectively communicate key information both orally and in writing.
- Must have ability to develop professional relationships with management, peers, employees, union, government agencies, and customers
- Must be able to work weekends, other shifts, and overtime as required.
- Must be able to maintain confidentiality of sensitive information and Company proprietary data.
- Must adhere to Company policies/procedures and management instruction.
- Limited travel may be required.
Physical Requirements
Primarily office environment. Must have close visual acuity to perform an activity such as: preparing and analyzing data and figures; transcribing; viewing a computer terminal; extensive reading; visual inspection involving small defects, small parts, and/or operation of machines (including inspection); using measurement devices; and/or assembly or fabrication parts at distances close to the eyes. Must be able to maneuver/lift up to 20 pounds.
