Weekend Services Administrative Specialist

Reports To: Weekend Services Director

FLSA Status: Full-time, Exempt, Sunday-Thursday

Department: Weekend Services

Role Summary: The Weekend Services Administrative Specialist supports the Weekend Services Team (Production and Music) by preparing diligently for Sunday Services and special events. They work closely with TC Ministry Teams to ensure smooth, engaging experiences that reflect TC’s Vision and Values.

Essential Duties and Responsibilities include but are not limited to the following:

  • As a TC team member, responsible for personal spiritual formation, growing as an Upward, Inward, Outward disciple of Jesus Christ. This will mainly be expressed through the Five Characteristics of a Transformer (worship, connect, serve, give, invite).
  • Responsible for protecting the Culture of TC and for living out the Five C’s—Character, Competency, Catalytic, Collaboration, and Chemistry.
  • Discovers, develops, disciples, and deploys servant leaders within their sphere of influence.
  • Proactively leads and shepherds through relational opportunities—one on one, small groups, midsize groups, large groups—in order to have a relationship with Servant Leaders within the Weekend Services Team.
  • Consistently improves workflow, processes, and Servant Leader training to maintain the level of excellence of all event productions.
  • Acts as a central resource for the Weekend Services Team (Music and Production)
  • Coordinates the flow of information and resources on behalf of Weekend Services Team through Planning Center, Asana, and Teams for the success and excellence of TC weekend services, special events, and other projects.
  • Oversees coordination and communication between Production and Music teams to support all internal and external events at TC.
  • Collaborates with TC ministry teams (as necessary) to ensure high quality, detailed support from the Weekend Services Team.
  • Attends and takes notes during special events and weekend services meetings ensuring the Weekend Services Teams are well equipped to execute an excellent service or event.
  • Assists the Production Lead with scheduling, planning, and programming of weekend services and special events.
  • Ensures all aspects of special events have been delegated and responsibilities communicated to necessary staff; attends Event Needs and Quality Check meetings.
  • Collaborates with necessary staff to ensure all events and projects are completed according to established procedures and within the predetermined timelines.
  • Assists the Production team in operating Production equipment for weekend services and other TC-related events.
  • Supports Weekend Services Director in regularly maintaining stewardship over team budgets and other resources for the team's success.
  • Other Duties: Will adapt to and fulfill additional assigned responsibilities as necessitated by the requirements of the role.
  • Additional Requirements:
  • Availability to work evenings and/or weekends as required.
  • TC Membership Requirement: TC staff members must become members of Transformation Church within a reasonable period.

Qualifications:

  • Education/Experience: Associates degree in related field or equivalent combination of education and experience required, Bachelor’s degree preferred. Minimum of three years’ experience in a ministry context preferred.
  • Computer/Technical Skills: Intermediate to advanced use of Microsoft Office (Word, Excel, Outlook, PowerPoint) required. Project management software usage experience, such as Asana is preferred.

Certificates and Licenses: CPR/AED Certification (training provided by Transformation Church)

Supervisory Responsibilities: Oversight of 25+ servant leaders.

Work Environment and Physical Demands: The work environment is generally moderate, with varying lighting conditions and noise levels. Will require occasional lifting and physical movement.
