Position Summary:
The Shipping Distribution Coordinator performs a variety of tasks related to coordinating transportation and shipping materials.
Shift: Monday - Friday, 9:00am - 5:30pm.
Essential Functions and Responsibilities:
- Plans and coordinates transportation, storage, or distribution activities in accordance with an organization's policies and applicable government laws or regulations.
- Executes distribution operations per company procedures, directs staff in shipping items when they are ordered, and maintains required distribution documentation for management.
- Reviews existing distribution processes: and reviews, recommends, develops, and implements improvements to the processes.
- Ensures that all job components or parts are shipped to customers.
- Monitors shipping status and responds to vendor inquiries regarding shipping status.
- Works with the Warehouse or Production Departments to arrange for supplies for distribution.
- Works with transportation team to coordinate pick-up and delivery activities.
- Contacts cross-functional teams to resolve invoicing and shipping issues.
- Participates in carrier performance tracking and carrier adherence to service levels.
- Assists in investigating and resolving shipping issues as they arise.
- Perform other duties as assigned.
The Distribution Coordinator may also perform job responsibilities in the following areas:
Logistics:
- Coordinates the organization's daily logistical needs to meet customer requirements for delivery and shipments, including order fulfillment, and distribution.
- Reviews shipping notices, bills of lading, invoices, orders, Customer Service requirements, and other records to determine priorities and shipping methods required to meet shipping and receiving schedules.
- Plans and schedules inbound and outbound shipments to internal or external customers based on needs.
- Liaises between customer service, freight carriers, and the Shipping Department; and ensures communication with customer service, and management is used effectively to achieve profitable deals and mutual satisfaction.
- Investigates and resolves logistics issues to ensure on-time delivery of goods to customers.
- Controls costs by evaluating shipments, consolidating loads, and selecting most cost-efficient method of shipment.
- Properly receives finished product from kitting, assembly and shipping while verifying correct quantities and actual product against job ticket.
- Stage and organize freight coming from automatic pallet wrapping machine by job number, version, and destination.
- Assigns outgoing product to dock doors and trailers via a detailed log.
- Understands Microsoft Outlook and Excel as well as having strong electronic mail skills.
- Verifies that material has been properly labeled.
- Works directly with UPS & FedEx to ensure proper number of trailers are ordered for daily workload.
- Verifies skid count coming off the kitting lines.
- Shipment confirmation.
- Works with customer online ordering portals to schedule delivery appointments.
- Load trailers.
- Checks for proper skid wrapping quality.
- Shipping point of contact in kitting and assembly for all shipping needs.
- Verifies material ready for shipment against job ticket and packing list and/or Load-tags for correct versions, correct quantities, etc.
- Work overtime or temporarily adjust work times as needed.
- Understands position in the ISO 9000:2000 Quality System.
- Respect and cooperate with individuals and assist others in reaching objectives.
- Follow all safety rules/regulations, company procedures and policies.
- Maintain cleanliness and work areas including Wulftec Wrapper.
- Continually strive to learn and improve all processes.
- Completes PIV equipment inspection.
Shipping:
- Coordinate with production managers and the shipping team to ensure daily schedules are met.
- Address issues and scheduling needs with supervisor as needed.
- Compare work with standards, and bring variations to the supervisor’s attention.
- Alert Quality Assurance of repetitive quality defects and participate in root cause analysis to prevent reoccurrence.
- Provide ideas/insights to refine established procedures to improve accuracy, efficiency and quality.
- Complete all required documentation to ready job(s) for shipment.
- Deliver product physically and electronically to the appropriate department when necessary.
- Fill out paperwork as required.
- Ensures product is labeled and packaged in accordance to Imagine! Print Solutions specifications.
- Maintain cleanliness of equipment and work areas.
- Completes PIV equipment inspection.
- Follow all safety procedures and policies.
Transportation
- Solicit rate quotes from carriers and exercise sound judgment when deciding which carriers to use while balancing service with cost.
- Complete, maintain, and store shipping documents.
- Proactively track in-transit shipments to monitor on time delivery.
- Maintain and communicate to appropriate stakeholders shipping dates, anticipated delays, and any additional information needed through completion of delivery.
- Regularly and accurately make timely entries into the operating system for load status, costs, and freight audit information as required by the company and clients.
- Ensure skids are properly secured, including banding, and wrapping as needed.
- Assist with loading and unloading trucks.
- Photograph skids to document condition of outgoing shipments.
- Understand and document customer shipping standards.
- Audit shipping invoices for accuracy of commodity classifications and rates.
- Perform immediate follow up and reporting to management of any exception to company practices, procedures or problems encountered both with shippers and carriers.
- Trace lost or delayed shipments, and initiates claims for loss or damage.
- Completes PIV equipment inspection.
Distribution
- Process data files and information (UPS/FDX systems, BCC Mail Manager software, etc).
- Import FDX/UPS distro files to generate shipping labels.
- Provide tracking information on an on-needed basis.
- Maintain label printers to ensure image quality/ trouble shoot printer or connection issues.
- Monitor UPS label inventory and place orders when necessary.
- Organize UPS/FDX address correction data to find live jobs to apply charges.
- Run UPS/FDX rates quote when necessary.
- Trace lost or delayed shipments, and initiates claims for loss or damage.
- Perform immediate follow up and reporting to management of any exception to company practices, procedures or problems encountered both with shippers and carriers.
Mandatory Qualifications:
- High school diploma or equivalent
- 2+ years previous knowledge of shipping & warehouse operations
- Proficient in Microsoft Word and Excel.
Preferred Qualifications:
- Forklift certified
- Knowledge of shipping procedures and requirements
- Strong computer skills
- Basic Math skills including addition, subtraction, multiplication, and division.
- Good judgment and decision-making ability are necessary.
- Strong communication skills.
- Previous knowledge of shipping operations.
- Ability to communicate/understand written as well as oral instructions.
- Basic Computer skills.
- Demonstrate positive safety attitude.
- Bilingual or multilingual proficiency in any language (including ASL) preferred
Physical Requirements:
- Ability to lift, push and pull up to 50 lbs.
- Ability to visually inspect all work for defects and distinguish colors.
- Frequent reaching, bending, climbing, kneeling, crouching, and stooping.
- Manual dexterity for repetitive work.

The national pay range for this role is $20.00 - $23.00/hour. The pay range may be slightly lower or higher based on the geographic location. The actual pay offered may vary based upon, but not limited to education, skills, experience, proficiency, performance, shift, and location. In addition to base salary, depending on the role, the total compensation package may also include participation in a bonus, commission, o incentive program.
