General Purpose of the Position:

The Project Coordinator supports the business unit by processing engineering and construction documents to ensure accuracy and timeliness of reproduction and release as assigned by project requirements. This includes identifying and resolving production-related errors and maintaining and revising procedural lists, owner provided equipment release schedule as well as coordination, control records and coding schemes to process source data.

 

Supervisory Responsibilities:

This position has no supervisory responsibilities.

Essential Duties and Responsibilities:

  • Prepares and maintains up-to-date control records documenting receipt of service requests, document and revision numbers, original distribution, revised distributions and transmittal dates
  • Manages and tracks owner provided equipment as ordered by the department
  • Coordinates deliveries based on construction needs and timing
  • Assists in conducting internal audits and inspections to ensure department work in performed correctly, efficiently and cost consciously
  • Maintains and files reproduced document originals and revision for easy retrieval
  • Assists in preparing monthly department reports
  • Performs copying and printing functions as required by work conditions
  • Codes data and inputs data for computer processing
  • Assists in preparing document transmittal forms, distribute completed documents, and perform other routine functions as required by workload conditions
  • Coordinates, under general supervision, the overall Document Control for entire project
  • Coordinates with reprographic vendors and consultants
  • Sets up and maintains Master Drawing Log and Drawing Packages
  • Coordinates with Engineers on distribution of documentation to project staff, subcontractors and other parties
  • Maintains Permit, Record Set and City/County approved drawings
  • Maintains Current set of Drawings and Specifications and Slip Sheet updates
  • Maintains Prolog reports for Drawings and Specifications
  • Establishes controls for Drawings and Specifications utilizing Procore, PlanGrid, and Box

Other Duties:

  • Adheres to and supports all Safety requirements
  • Assists the VP and Field Superintendent in processing all Work Order requests from project staff
  • Distributes and files all incoming correspondence
  • Controls the documentation related to item transmittals and meeting minutes
  • Maintains archive in accordance with Records Management Department guidelines
  • Maintains project Plan Room
  • Provides support and training to support staff as required
  • Develops job specific document control processes with the help of Supervisor
  • Demonstrates ability to be dependable, consistent, diligent, and thorough

Education and Experience:

Education: High School or equivalent

Some college course work or Associates Degree preferred.

Experience: One to Four (1-4) years of experience in a similar or related position

Knowledge of filing in both Alpha and numeric systems, business machines, office procedures and document control systems is required

Knowledge of construction documents is required

Computer Equipment and Software:

Special skills: Intermediate knowledge of MS Office Suite

Basic knowledge of Procore software, preferred

Intermediate knowledge of office machinery and tools.

On occasion it may be necessary to lift and carry items of 50 lbs. or less, walk over uneven unpaved ground, etc., to reach the worksite as some worksites are located in construction zones. While performing the duties of this job, the employee is regularly required to sit, use hands, stand, walk, bend, use computer, and have adequate vision abilities to include close and distance vision, and ability to adjust focus working with computer and business equipment.
