Job Summary:
The job duties of the Human Resources Generalist include but are not limited to assist the Human Resources Director in the administration of human resources activities including payroll, management of the employee life cycle from onboarding through offboarding, policy management, and other human resource related services.

Essential Job Functions:

1. Payroll
• Review employee time and attendance records including hours worked, overtime, bereavement, catastrophic time, low census, and unpaid time.
• Input all missed punches, shift differentials, paid time off up, low census and bereavement pay for employees in compliance with Hospital policy.
• Verify the accuracy and completeness of the collected payroll data while ensuring compliance with state and federal regulations.
• Rectify any discrepancies or errors in payroll data and follow up with relevant departments or employees for clarifications or corrections.
• Input payroll changes into HRIS system including but not limited to 401K changes, benefit premium changes, paid time off payouts, wellness incentive cash outs, etc.
• Review new hire and termination information in HRIS software for accuracy. Coordinate corrections as applicable.
• Respond to employee inquiries regarding payroll.
• Maintain accurate and confidential payroll records and files.
• Run and review payroll reports from the HRIS to support payroll accuracy.
• Ensure timesheets are reviewed and approved by department managers before processing.
• Ensure SOX compliance when performing payroll duties and responsibilities.
• Act as a liaison between employee and Surgery Partners for any payroll related questions or concerns that are unable to be managed on the local level.
• Collaborate with other HR team members on payroll entries related to leaves of absences and input information accordingly.
• Collaborate with Surgery Partners on HRIS payroll process improvements.
• Manage and complete unemployment documentation in collaboration with Human Resources Director as needed.
• Respond to verifications of employment.
• Continuously evaluate and enhance payroll processes.

2. Onboarding
• Ensure all necessary employment forms are completed and submitted.
• Complete, verify and maintain Form I-9 and eligibility requirements.
• Conduct new employee orientation to familiarize new hires with the company culture, policies, and procedures.
• Act as a liaison between employee education and the employee on the management of employee education compliance.
• Complete new hire PARs with accuracy.
• Conduct new hire follow-up surveys.
• Develop trends from new hire follow up survey and opportunities for improved employee onboarding experience.
• Maintain accurate records of all onboarding activities in compliance with The Joint Commission standards.
• Ensure all necessary forms are completed and submitted for the onboarding of clinical assists, allied health observers, student observers, interns and contractors.
• Continuously evaluate and enhance onboarding processes.

3. Ongoing
• Complete status and internal transfer PARs with accuracy.
• Create and manage employee transition paperwork including memos and job description changes.
• Conducts monthly WI Caregiver Background checks for employees, clinical assistants, and contractors.
• Conducts primary source verification of licensure and certifications of employees, clinical assists, and contractors.
• Manage employment spreadsheets including employee locker assignment, employee roster, years of service, licensure expiration, turnover, corrective action, etc.

4. Offboarding
• Complete termination PARs with accuracy.
• Calculate PTO payouts at termination.
• Conduct employee exit surveys.
• Update employee records and files to reflect the employee’s separation and maintain records accurately.
• Complete termination checklists for employees, clinical assists, allied health observers, student observers, interns and contractors.
• Notify applicable individuals of employee, clinical assist, allied health observer, student observer, intern, and contractor terminations.
• Maintain proper records of the offboarding process to ensure legal compliance in collaboration with Human Resources Director as applicable.

5. Other
• Act as back up to other Human Resources staff as needed.
• Maintain all policies associated with job duties and responsibilities in collaboration with Human Resources Director.
• Manage all administrative aspects of position including scanning and retention of documentation.
• Provide friendly, positive, and consistent service to all those interacted with on behalf of Hospital business.
• Other duties as assigned.

Qualifications, Knowledge & Ability:
• Demonstrates eligibility for employment in the U.S.
• Bachelor’s degree in human resources, business management or related field of study required.
• Two or more years of human resources related experience preferred.
• Experience with Microsoft Office (Word, Excel and PowerPoint) required.
• HR Certification (SHRM or PHR) preferred.
