Our Maritime client is seeking Registration Coordinators for their new branch in Miami, FL. Please see below for the job description and additional details.

The ideal candidate will have experience in the maritime industry; however, this this is not a requirement. We recognize the uniqueness of our industry, and a strong administrative coordinator with the right skillsets will be successful in this role.

Vessel Registration Coordinator

Responsible for assisting clients with vessel registration and issuance of permanent certificates of registry. Coordinates registration closings and recording of bills of sale. Provides efficient service to clients through competent communication with clients, managers, and company offices.

Essential Duties:

  • Provides clients with information on vessel registration procedures;
  • Creates initial vessel file for new vessel registrations;
  • Reviews draft and executed vessel registration documents under registration manager’s supervision;
  • Uploads registration documents and maintains electronic database in operating system;
  • Updates clients and company offices on outstanding requirements to complete registration process;
  • Coordinates closing arrangements with clients, company offices, departments and nautical inspectors;
  • Appoints attending nautical inspector in coordination with Audit Department as needed;
  • Coordinates issuance of vessel ship certificates;
  • Issues vessel certificates after expiration of provisional certificate of registry as directed;
  • Maintains order in all office quarters;
  • Performs other duties and projects as assigned by management level personnel.

Experience, Education and Certification

High School degree required. Associates or Bachelor’s degree, preferred.

Vessel Registration or Maritime Industry experience, preferred.

Minimum two years of Administration experience.

Knowledge, Skills and Abilities

Proficient knowledge of Microsoft Office applications and use of General office equipment

Ability to work efficiently in fast -pace environment, prioritize work and meet deadlines

Well organized and detail oriented; ability to work with little or no supervision

Proficient in business correspondence; strong skills in English grammar and composition

Well-developed interpersonal and communication skills

Availability to work outside regular business hours on request (nights, holidays and weekends)

Able to lift approximately 15 – 20 lbs.
