General Duties

While this position will provide administrative and clerical support to a very busy Vice President, the role is more than administrative. The candidate must be able to work with data, be able to draw conclusions from that data, and be able to translate that data to the Vice President in a manner conducive to the needs of the department. This position requires a self-starter with advanced excel skills, a broad knowledge of accounting, with knowledge of POWER BI, a plus.

Essential Duties and Responsibilities:

  • Provides administrative support including preparing vessel statutory exemption certificates;
  • Maintains electronic records and files;
  • Researches websites and databases as required for vessel specific and statutory certificate information;
  • Coordinates shipment of and maintains records of documents sent to vessel agents;
  • Generates invoices for direct billing of fees for exemption certificates and other activities, as appropriate;
  • Manages appointment calendar and contact list;
  • Manages and allocate department incoming emails;
  • Creates and maintain business files and computer files, spreadsheets and databases; and
  • Performs other duties and projects, as needed by the department to achieve goals.

Experience, Education and Certification

  • High school diploma, Bachelor's degree in business or accounting, preferred;
  • Minimum of one year of Administration or Accounting Assistant experience;
  • Maritime industry experience, a plus

Knowledge, Skills and Abilities

  • Advanced knowledge of Microsoft Office applications, in particular Excel and Word;
  • Basic accounting knowledge;
  • Ability to organize and prioritize work and meet deadlines;
  • Well-developed interpersonal and communication skills
  • Strong skills in English grammar and composition;
  • Ability to work in a team environment
