POSITION SPECIFIC DETAILS:
Hours: Part Time (16 hours/week). Some hours can be flexibly scheduled. Must be available on Wednesday evenings approximately twice per month to support Satellite events.
Status: Full Year
Location: Red Arrow- 2096 Red Arrow Trail, Madison, WI

Payrate: $22.00 an hour

SUMMARY:

The administrative assistant has a pivotal role in the functioning of the Satellite Family Childcare System team. This individual assists all Satellite staff with the clerical and administrative requirements of their work with family childcare providers. The work includes, but is not limited to, the following:

  • facilitating the onboarding of new applicants into the family childcare system
  • creating and updating computer files
  • assisting with family referrals to Satellite’s family childcare programs
  • compiling data, updating lists and reports using this data
  • updating and maintaining Satellite’s loan program of equipment, curriculum units and library books; some local delivery and pick up of these items at family childcare programs.
  • keeping the Satellite office organized
  • supporting Satellite’s virtual professional learning events as the online behind-the-scenes staff person
  • supporting Satellite’s in-person events, including monthly Noche Latina support group meetings
  • Creating, editing, proofreading, updating, printing, collating, and disseminating paper and digital documents (English and Spanish)
  • Organization and maintenance of the team SharePoint site

QUALIFICATIONS/REQUIREMENTS:

  • Required Qualifications:

  • High school diploma or equivalent
  • Excellent English skills: reading, writing, speaking and comprehension (high school level or above)
  • Excellent Spanish skills: reading, writing, speaking and comprehension (high school level or above)
  • Proficient in basic math (addition, subtraction, multiplication, division, ratios)
  • Proficient with technology, including software (Microsoft Word, Microsoft Excel, Outlook, Google forms, fillable PDFs, basic website, Zoom) and devices (smart phones and laptops)
  • Ability to work independently and in a team.
  • Use critical thinking and good judgment in decision-making.
  • Strong organizational skills
  • Exceptional attention to detail
  • Preferred Qualifications:

  • ability to lift and move around 30 lbs. repeatedly.
  • Possess a valid driver’s license and adequate motor vehicle liability insurance as required by agency policy and state liability regulations.
