Responsibilities
Busy Outpatient Physical Therapy Clinic is seeking to hire a Full-Time Front Office Coordinator for our North Flower Mound location.
The Patient Account Registrar interviews the patient or his/her representative to obtain patient demographics. This position also secures insurance information, eligibility, benefits and authorizations as applicable. Works closely with all facets of the Admitting department including PBX operator function and reception areas. Must be able to operate a computer to input and retrieve data. Ability to communicate with the population served, utilizing age specific techniques from neonatal, pediatrics, adolescents, young adults, middle adult to geriatrics. Maintain proficiency in medical terminology. Special projects or other assignments may be given with expectations to be completed in a specified timeframe.
PRIMARY RESPONSIBILITIES:
- Answer and address phone calls in a courteous, professional and timely manner.
- Ensures patients are scheduled appropriately and in a timely manner.
- Admits patients to the Facility following the established policies and procedures.
- Assembles patient medical record forms and scans into EMR once completed.
- Accept patient payments and process them accurately.
- Prepares all bank deposits following Facility cash controls.
- Run and maintains reports following the established policies and procedures.
- Maintains and protects each patient’s right in compliance with HIPAA.
- Assists in ordering and stocking supplies.
- Maintains order and cleanliness of the front office.
- Verify insurance properly and notify the patient via written and signed material.
- Obtain any required authorizations from insurances.
- Track insurance limitations, including visit limitations, monetary limitations, and acceptable charge limitations.
- Enter patient information into the computer system(s) accurately, effectively and in a timely manner.
- Communicate with both the Therapist and patient when approaching visit, monetary or charge limitations.
- Works closely with Physician’s offices in regards to treatment, necessary documentation (IE: script for treatment and Plan of Cares) and insurance requirements such as referrals/authorizations.
Qualifications
EDUCATION, EXPERIENCE, TRAINING
1. Previous hospital experience as an admissions representative preferred.
2. Knowledge of medical terminology preferred.
3. Effective written and verbal communication skills
4. Ability to multi-task, prioritize needs to meet required timelines
5. Analytical and problem-solving skills
6. Customer Services experience required
7. High School Graduate or GED Equivalent Required (effective 4/1/14 for all new hires)
