Position: Faculty Office Assistant
Status: Full-time Regular (Non-exempt)
Department: Faculty Office
Reports to: Administrative Support Coordinator
Salary: $20.00 - $23.00
Description: Paul Smith’s College has an exciting opportunity for an experienced, meticulous professional to provide assistance and support to the Faculty, Administrative Support Coordinator and Deans at Paul Smith’s College. This position serves as the first point of contact for the Faculty Office and provides clerical assistance to the faculty.
Duties and Responsibilities:
- Perform general office work necessary to support the Faculty, Admin Support Corrd. & Deans in the academic operations of the College. Such work includes, but is not limited to, word processing, copying, handling in-coming and out-going mail, and taking and delivering messages, trouble-shooting office equipment, updating forms, etc.
- Interact professionally with students to provide assistance and direction toward appropriate College resources.
- Maintain a welcoming, service-oriented office and act as an effective liaison with other offices at the College.
- Assure that the highest standards of confidentiality, efficiency and accuracy are met and maintained.
- Coordinate with Admissions Office to arrange Faculty meetings with prospective students, track progress of meetings, and prepare thank you cards for Chairs to sign.
- Manage the ordering of desk copies for Faculty.
- Assist in the process of scheduling meetings and appointments for Faculty & Deans.
- Assist with supervision of Work Study Students
- Place office supplies orders and check all packages.
- Maintain meeting minutes when needed; coordinate scheduling and maintain minutes for Chairs Council
- Print posters for capstone, and Faculty/Staff as needed.
- Coordinate revision of the Faculty Handbook
- Track and maintain changed and new MCOs.
- Coordinate application for Stirling Tomkins scholarships.
- Coordinate and track distribution of educational technology to faculty in the Faculty Office
- Ability to work occasional evening and weekend hours (with advance notice).
- Other duties appropriate to the position as assigned.
Requirements:
- Clerical experience and High School Diploma/GED required; Associate degree preferred.
- Proficiency with Microsoft Office components; experience with integrated database software highly preferred.
- Ability to work independently and collaboratively as part of the Faculty Office team.
- Excellent data management skills, including computer and paper files.
- Ability to effectively manage multiple priorities.
- Ability to maintain a neat, friendly, organized, and professional office environment with emphasis on service, efficiency, and accuracy.
- Provide support, as appropriate, for other activities of the College, especially as related to Faculty and students.
- Ability to work at a computer workstation and at other office equipment for 80% of the normal workday.
- The ability to perform some amount of stooping, kneeling, bending, crouching, lifting, walking, carrying, and other movements may be required.
