Summary

This position reports to the Research Administration Compliance Specialist and has the primary responsibility for administrative closeout duties related to sponsored programs, intellectual property, and record integrity and retention. The Research Compliance Administrator will assist the Research Administration Compliance Specialist, administrators and compliance professionals within the ODU Research Foundation and Office of Research to maintain a seamless, well-coordinated, and effective compliance program on behalf of the Research Foundation. The Research Compliance Administrator will work collaboratively to ensure that Research Foundation policies and practices align with those of the University and will adhere to the highest level of professionalism and integrity. This position is designated as a flexwork position and is subject to Flexwork Agreement terms.

Job Responsibilities:
  • Sponsored Program Close Out Management: Initiate sponsored project closeout process including inactivation of projects; ensuring all sponsor deliverables are met. Preparing necessary sponsor related reports for inventions and equipment; prepare financial reports for ensuring all expenses have been posted and all liabilities are clear for deactivation. 
  • Record Retention: Assists the Research Administration Compliance Specialist in creating, maintaining, record keeping process/workflow system, and implementing record retention/disposition policy, processes, standard operating procedures, and schedules within Confluence for sponsored programs consistent with state and federal rules and regulations, guidelines, and best practices. Records are both electronic and/or paper.  Duties include working with the Compliance Specialist to inventory records, updates retention schedule to reflect current legal requirements and timeline for the destruction of records. Executes upon the standard operating procedures to coordinate the creation, maintenance, retrieval, protection, retention, and destruction of all sponsored program records. Additionally, ensures the procedures comply with privacy and electronic security regulations.
  • Maintaining Intellectual Property (IP) Activity
    Learn and maintain ODU RF information in the Intellectual Property administration system (Sophia) including uploading IP related executed agreements (licensing, option, non-disclosure, assignment, term sheets, etc.) when executed by the Executive Director.  Works in partnership with the ODU RF Controller to establish and maintain a standard operating procedure in Confluence for inputting and reporting intellectual property related expenses and revenues into Sophia. Develops and provides monthly reports from Sophia for the Executive Director and Office of Research.  
  • Compliance Monitoring, Reporting & Communications
    Monitors and reports organizational compliance performance with appropriate metrics via various mechanism (e.g., dedicated Confluence page).  Assists the Research Administration Compliance Specialist in the creation of annual reports, monthly reports, presentations, and other regular communications on behalf of the organization.  
  • Performs similar or related duties as assigned or required.

Education and/or training:

A bachelor’s degree or equivalent combination of education, training, and experience in related field(s) of finance, research compliance, or Grant Management.

Level and type ofexperience:

Experience in finance and sponsored program accounting, policies, and procedures.

Specific knowledge, skills, and abilities:

Possess strong verbal and written communication skills.

Demonstrated experience to successfully work independently, organize and prioritize own workload.

Demonstrated experience to successfully maintain positive interpersonal relationships.
