Responsibilities:
- Supporting the Executive Director and the team in administrative activities with AgeBetter Board, SAIL Operating Council, and the Council Teams, including scheduling, meeting planning, preparing meeting materials, reimbursement reports, dissemination of meeting materials, etc.
- Answer phones and direct calls and requests to the appropriate person when needed.
- Enters and maintains data using Club Express software and the Microsoft Office suite of programs and Google Workspace. Runs reports as requested to support program operations and planning.
- Provides support to the SAIL program, including follow-up contacts with SAIL members regarding service requests in a timely manner, conducts semi-annual calls to members on schedule, follows up on members who did not check-in for Rise and Shine and notifies executive director if a visit is required, etc. Coordinates creating and updating printed and electronic service provider directories, member directories, new member folders, inquiry packets, and other materials. Assists members with technical support, in-home and over the phone.
- Assists in providing weekend support for our daily check in service, Rise and Shine, as needed.
- Works with AgeBetter executive director to support fund development, mailings, and activity tracking.
- Works with the team on new service provider onboarding procedures, reference checks, background check, certificates of insurance.
- Prepares for programs, events and set-up as needed. Also starts virtual and hybrid programs as requested. Works with and supports the volunteer coordinator as requested with volunteer communication, office volunteers, and responding to member service requests.
- Maintains inventory of office supplies; orders special supplies upon request.
- Assists in maintaining, through personal conduct, an atmosphere that is efficient, organized, professional, and friendly.
Qualifications
- Excellent written and verbal communication skills and commitment to the highest degree of customer service possible. Ability to work well with a team and take on multiple roles as needed.
- Highly organized and highly proficient with all Microsoft Office programs, Google Workspace, and willing to learn Club Express.
- Ability to successfully manage multiple tasks and meet deadlines. Ability to prioritize daily tasks and steps to take with respect to service calls/member needs being mindful of safety and overall member well-being and satisfaction.
- Ability to produce large mailings, using mail merges.
- Ability to work cooperatively with other organizations.
- Ability to flex hours and willingness to assist with weekend Rise and Shine Check-in rotation.
- Ability to work with a diverse group of individuals and possess a genuine interest and passion in working with older adults.
- Knowledge of, or willingness to learn, about long-term care needs of elderly people relating to SAIL members.
- Ability to effectively assist staff and members with technical needs.
- Ability to maintain confidentiality and professionalism.
- When needed, ability to travel to a member’s home or to an event – access to personal vehicle is preferred.
Education and Experience
- High school diploma
- Experiences within a helping profession/supportive service organization and administrative experience with an emphasis on customer service are required. Experience working with older adults preferred.
