The Document Control Supervisor at Nomad GCS will supervise, mentor, and motivate a team of Document Control Clerks and Technical Writers across multiple departments. This role involves assigning tasks, monitoring workflow, and ensuring the successful completion of goals. The coordinator is also responsible for supporting performance reviews of team members through appropriate observation and documentation. In addition, this position will manage the company’s documentation to ensure accuracy, accessibility, and regulatory compliance. The Document Control Supervisor will demonstrate strong customer service skills, including assessing customer needs, meeting quality standards, and evaluating customer satisfaction. This position oversees the cataloging, indexing, and organization of technical documents, maintains version control, and conducts compliance audits. The Document Control Supervisor works closely with production, quality control, and engineering teams to gather, distribute, and update documentation. This role is also responsible for developing document management policies and procedures, providing training on document systems, and ensuring the confidentiality and security of sensitive information. The ideal candidate will demonstrate strong leadership, organizational skills, and proficiency in document management software, with experience managing teams and maintaining regulatory compliance.

ESSENTIAL FUNCTIONS / RESPONSIBILITY:
•    Supervise, mentor, and motivate a team of Document Control Clerks and Technical Writers.
•    Assign tasks and monitor workflow ensuring successful completion of goals.
•    Support reviews of team members and performance management through appropriate observation and documentation.
•    Oversee the accurate and compliant management of documentation across the organization.
•    Catalog, index, and organize documents to ensure quick and easy retrieval.
•    Manage version control and update document databases.
•    Conduct regular audits to verify compliance with internal and regulatory standards.
•    Demonstrate strong customer service, including assessing customer needs, meeting quality standards, and evaluating customer satisfaction.
•    Implement and manage procedures for document review, approval, and distribution.
•    Collaborate with departments such as production, quality control, and engineering to address documentation needs.
•    Develop and enforce document management policies and procedures.
•    Provide training and support on document management systems and processes.
•    Assist team members with accessing and utilizing technical documentation.
•    Archive documents in accordance with retention policies and oversee the secure disposal of obsolete materials.
•    Troubleshoot document management system issues and coordinate with IT or vendors as needed.
•    Ensure the confidentiality and security of sensitive documents by implementing proper access controls.
•    Perform additional duties as required.


BASIC KNOWLEDGE DESIRED:
•    Strong understanding of document management systems and principles.
•    Knowledge of version control processes and document retention policies.
•    Familiarity with regulatory requirements related to document control and compliance.
•    Proficiency in organizing and maintaining document storage systems.
•    Ability to troubleshoot document management software and system issues.
•    Strong customer service skills, including the ability to assess needs and evaluate satisfaction.
•    Demonstrated leadership and team management abilities, with experience in performance management and workflow coordination.
•    Strong organizational skills and attention to detail.
•    Demonstrate understanding and application of Nomad Core Values.

PHYSICAL DEMANDS:
•    Ability to stand and sit for extended periods.
•    Manual dexterity to operate office equipment.
•    Occasionally lift and/or move up to 20 pounds.

WORKING ENVIRONMENT:
•    Professional office environment with regular interaction with guests, clients, team members, and vendors.
•    Typical indoor manufacturing environment. Noise level is usually moderate. Safety glasses and closed-toe shoes are required when on the production floor.
•    Everyday workwear must be business casual/smart casual and appropriate for the office environment.
•    Subject to temperatures fluctuations if/when job duties require time on the production floor.

QUALIFICATIONS & EXPERIENCE:
•    Bachelor’s degree in Business Administration, Information Management, Library Science, Engineering, or a related field preferred. Relevant work experience may substitute for a degree.
•    Associate degree in Business Administration, Information Systems, or a related field with significant relevant experience may be considered.
•    Proven experience in document management, records control, or a similar field, with a solid understanding of document control processes and compliance standards.
•    Prior supervisory or team leadership experience is highly desirable, especially in managing Document Clerks or Technical Writers.
•    Proficiency in document management software and databases.
•    Certifications in Document Control or Records Management (e.g., Certified Records Manager, Certified Document Imaging Architect) are advantageous.
•    Strong organizational and communication skills with the ability to work cross-functionally and provide training as needed.
