We're looking for a Construction Coordinator to join our Sarasota team! In this position, you'll offer discreet administrative assistance to our Vice Presidents of Operations and Construction. Your responsibilities will include aiding in understaffed areas, performing general office tasks, overseeing community closeout and startup procedures, managing internal and external meetings and conference calls, organizing schedules, arranging travel arrangements, and promptly addressing emails and phone calls.

WHAT YOU'LL DO:

  • Manage calendar in MS Outlook, schedule and coordinate meetings, events, interviews, appointments, and similar activities, which may include travel and lodging arrangements
  • Receive and document customer complaints and route them to appropriate personnel for handling; follow up as necessary
  • Organize, manage, and track multiple detailed tasks and assignments with frequently changing priorities in a fast-paced work environment
  • Produce Excel spreadsheets to manage and analyze information
  • Extract reports from the Newstar operating system
  • Conduct occasional internet research on business topics and report findings
  • Manage special projects to maintain organization, ensure timelines are met, and communicate progress
  • Maintain an organized electronic and paper filing system and quickly retrieve requested data
  • Time-sensitive to spontaneous requests and organized to accommodate the needs of various departments while attending to the front desk.
  • Daily mail, sorting, and distribution to appropriate departments. Send UPS and FedEx packages as needed, as well as order postage, UPS, and FedEx supplies
  • Track and order office supplies for job sites
  • Track, order, and maintain an inventory of all promotional supplies and uniforms
  • Keep up to date with a complete operating procedure book for all responsibilities and procedures
  • Use discretion and confidentiality at all times, as some work may be of a sensitive nature

WHAT YOU BRING:

  • A High School Diploma and a minimum of three years of administrative work
  • Professional presence with the ability to handle confidential and sensitive data with discretion
  • Strong situational awareness to perceive problems/challenges and address them with a positive outcome
  • Advanced communication skills, both written and verbal. Proficiency in grammar, spelling, and punctuation is required
  • Quick learner - utilizes all available resources to develop skills and asks thoughtful questions
  • Demonstrates adaptability, resilience, and agility in a fast-paced, constantly evolving environment
  • High attention to detail, extremely organized, analytical, and able to manage time and multi-task to accomplish a multitude of tasks with conflicting priorities and timelines
  • A high level of proficiency with a variety of computer applications, including MS Word, Excel, PowerPoint, Outlook, and database management applications

PHYSICAL REQUIREMENTS:

  • General sedentary work requiring the use of office equipment such as computers, copiers, printers, scanners and telephones
  • Position requires sitting, standing, walking, bending, stooping, grasping, writing, typing, repetitive motions, hearing ability, visual acuity, and climbing stairs on occasion
  • May occasionally lift and/or move up to 25 pounds.
  • Some driving may be required
