ABOUT THE POSITION: In coordination with the Site Manager and Optical Director, the individual in this position is responsible for the day-to-day activities and workflow of the Family Optical Clinic. This includes 10-20% administrative duties (dependent on office needs) and 80-90% direct assistance to the doctors during patient care on site. During patient care, under general supervision the individual in this position is responsible for assuring that patients are prepped and ready for examination by the doctor. Takes detailed medical histories with reasons for the visit and does preliminary testing and measures blood pressure as necessary. Assists patients in frame selection, orders glasses and contact lenses from laboratories, arranges patient referrals and referral tracking. Lead Administrative duties will include providing coaching and training to assistants, assisting the site Manager by monitoring, and maintaining records of attendance and punctuality, contributing feedback for the purpose of evaluation staff performance. This individual will also be responsible for the following: troubleshooting, reviewing schedules, making corrections, when necessary, coordination of assistant schedules and assignments, coordination of sterilization, equipment maintenance and repair, supply, inventory, labs, and deliveries. The individual in this position will be required to work on Saturdays and may need to work some evenings.
MINIMUM QUALIFICATIONS:
- Requires High School diploma or equivalent, ophthalmic assistant or technician training/experience preferred, courses in ocular anatomy, and physiology, ophthalmic optics, ophthalmic pharmacology and toxicology, ocular motility, and diseases of the eye desirable.
- Experience in optometry or ophthalmology office preferred.
- Certificate of completion of two years assistant training program preferred but not required. Certification in Ophthalmic Technician highly desirable.
- Ability to work independently and in team approach exercising independent judgment in evaluating situations, rending decisions.
- Excellent communication and interpersonal skills with staff and clients essential. Must be able to deal courteously and pleasantly with patients and staff.
- Knowledge of ophthalmic terminology and office practices and procedures required.
- Ability to multi-task and must have good time management skills. Physical stamina to function effectively in a position which involves continuous movement.
- Bilingual English/Spanish required.
DUTIES AND RESPONSIBILITIES:
- Coordination of activities in the Optical Assistant area. Assist, advise, and train Optometry/Ophthalmology Assistants. Assist Optical Director with the following: Maintains inventory and ordering of supplies as needed, ensures exam rooms and work areas are properly stocked, coordinates equipment repairs, coordinates work schedules and troubleshoots patient and staff problems in the assistant area.
- Translates between patient and provider, treatment instructions, questions patient may have regarding physician’s orders, use of medications, and contact lenses.
- Schedules follow-up appointments and verifies appointment times with patients.
- In conjunction with Management, trains assistants to handle infectious wastes; prepare instruments for sterilization in compliance with OSHA and Infection Control. This includes DA training, keeping MSDS current, and supervision of on-the-job injuries.
- Patient interactions: pretesting, frame selection, contact lens training, minor frame repairs and adjustments. Selects, dispenses, and verifies prescriptions of visual appliances (i.e. frames, contact lenses).
- Operates visual fields screening devise and ocular photography cameras.
- In conjunction with the Lead Clerk, Site Manager, Optical Director, maintain an efficiently operating clinic. Work closely with all providers and assistants to keep patient flow on time.
- Intervene in conflict and issues of ordering, laboratory interface, patient billing, or insurance as needed.
- Serves as a resource for Family Optical to develop and maintain a team approach.
- Assists associate with quality assurance activities.
- Attend meetings as required.
