Job Description

ROLE OVERVIEW:
The Director of Advancement Projects holds a critical role in providing comprehensive support to the Chief Advancement Officer (CAO) and driving the success of the Advancement team. This senior-level position encompasses a wide range of responsibilities, including direct support to the CAO, strategic communication and presentation development, and management of the CAO's Executive Assistant.

The Director plays a pivotal role in shaping the organization's advancement initiatives and ensuring smooth operations at the highest level.

MAJOR RESPONSIBILITIES AND DUTIES:

The Director of Advancement Projects will:
1. Strategic support to the Chief Advancement Officer (CAO)

a. Act as a trusted advisor and provide strategic support to the CAO in managing key
initiatives and responsibilities.

b. Draft and oversee the distribution of executive-level emails on behalf of the CAO,
ensuring accuracy, clarity, and alignment with organizational goals.

c. Proactively anticipate and schedule important meetings, ensuring all necessary
materials and resources are prepared in advance.

d. Prepare the CAO for upcoming meetings, providing relevant briefing materials, research, and insights.

e. Develop executive-level reports, presentations, and briefings for the CAO, synthesizing
complex information into clear and concise formats.

2. Plan, execute, and lead the follow up for the Advancement Team Meetings, Retreats, and Step Backs
a. Plan, execute, and lead the follow-up for high-level Advancement Team Meetings,
Retreats, and Step Backs, fostering collaboration, innovation, and alignment within the
team.
b. Coordinate with internal teammates from various departments to gather content and presentations.
c. Create and present a comprehensive agenda for the Chief Advancement Officer,
incorporating key priorities, strategic discussions, and decision points.
d. Facilitate discussions and lead working sessions during team meetings, ensuring that action items are identified, assigned, and tracked.

3. Manage and Coach the Chief Advancement Officer’s Executive Assistant
a. Manage and provide guidance to the Chief Advancement Officer's Executive Assistant (EA), ensuring efficient workflow and effective support.
b. Develop the EA's capabilities through coaching, mentoring, and providing professional development opportunities.
c. Collaborate with the EA to optimize the CAO's schedule, prioritizing key engagements and ensuring effective time management.

4. Data Management and Reporting
a. Maintain accurate and up-to-date records in Raiser's Edge, the donor management software, for the Chief Executive Officer (CEO), CAO, and Deputy Chief of Development (DCD).
b. Collaborate with the CAO to prepare and deliver data-driven presentations for board meetings, executive leadership meetings, and other high-level engagements.
c. Update contact information for constituents provided by the CEO, CAO, and DCD.
d. Create a comprehensive summary of moves made by the CEO, CAO, and DCD for mid-year and end-of-year evaluations.

5. Team Support and Stakeholder Engagement
a. Collaborate with the EA to create a culture of appreciation and recognition within the team, celebrating birthdays, work anniversaries, and other significant milestones.
b. Partner with managers to develop meaningful celebration plans for team members' KIPP anniversaries, ensuring their contributions are acknowledged and valued.
c. Create engaging presentations and talking points for KIPP Texas Board of Directors
Meetings, Regional Board Meetings, Work Groups, and other relevant gatherings.
d. Work closely with Deputy Chiefs to gather materials and receive guidance for board
meetings.


6. Collect relevant information, compose the KTX newsletters, liaise with the DCD to acquire the listserv, and circulate the newsletters to the team


7. Develop and nurture professional relationships with internal stakeholders such as
Advancement Teammates, school based staff and key stakeholders


8. Execute any other duties or projects as assigned by the Chief Advancement Officer

Qualifications

QUALIFICATIONS:
 

Education and Knowledge:
● Bachelor’s degree from an accredited institution
● 3+ years of leading a team and delivering results
● Experience as a skilled leader and manager of a team of professional, preferred
● Knowledge of Texas Education Agency charter laws and reporting is helpful, but not required

● Proficiency in Microsoft Office applications (Word, Excel, PowerPoint, and Outlook)
● Proficiency using computers, printers, copy machines, and fax machines
● Knowledge of Raiser’s Edge fundraiser or other donor software is helpful, but not required
