Position summary: JMT is an engineering and architecture firm serving public and private sector clients from 49 offices in 16 states and the District of Columbia. We are seeking an enthusiastic proposal/marketing coordinator to join our PA/OH regional marketing team. Our pursuit coordinators work together with technical subject matter experts (SMEs) to develop proposals and other marketing materials that are compelling, accurate, creative, focused, and compliant with the client’s RFP/RFQ requirements. Essential Functions and Responsibilities

  • Coordinate, prepare, and review proposals, expressions of interest, technical proposals, and presentations for public and private clients
    • Coordinate all phases of the proposal development process from the kick-off meeting to production and delivery and proposal closeout
    • Develop proposal outlines based on requirements in a RFP/RFQ/RFI
    • Participate in client pre-proposal meetings, internal kick-off meetings, debriefings, etc.
    • Prepare major sections of proposals, including but not limited to project descriptions, resumes, and firm qualifications, tailored for the specific scope of work    identified in the RFP/RFQ/RFI. Work with SMEs to develop project-specific, technical content
    • Coordinate final proposal production and submission, including printing and delivery (when required), with emphasis on quality assurance/quality control
    • Produce consistently compliant high-quality submissions while delivering exceptional customer service to internal and external stakeholders
    • Ensure adherence to proposal development schedule by all members of the development team
  • Collaborate with internal creative services team to develop impactful visual content
  • Collaborate with internal communications team to share good news about projects and staff achievements
  • Assist with presentation preparation, presentation materials, and other general marketing collateral for client meetings 
  • Complete data entry for marketing databases, tracking leads go/no go, and wins or losses.
  • Search for and enter RFPs/advertisements into CRM system
  • Develop and/or maintain compelling and appealing marketing materials including resumes, firm overview and qualifications, project descriptions, and graphic representations.
  • Work closely and interact with technical staff, administrative staff, and marketing staff in other offices, as well as outside vendors, subconsultants, and clients. 
  • Research various sources in search of project opportunities for professional services. When opportunities are found, enter data for these opportunities into marketing database (CRM), tracking leads and associated go/no go decisions, and wins or losses.
  • Gather information, conduct market research about prospects/clients/projects, and participate in the development of various business collateral to support continued strategic growth. 
  • Generates reports for technical staff on marketing efforts, when required.
  • Organizational support of office, regional, and corporate marketing efforts.
  • Adherence to JMT’s Quality Management System (QMS), ISO 9001:2015 Marketing procedures.
  • Administrative duties related to marketing such as filing, data input, etc.

Required Experience

Preferred Experience

  • 3-5 years of proposal development experience in the architecture, engineering, and construction industry with degree / 5-7 years of practical experience in the architecture, engineering, and construction industry without degree
  • Bachelor’s degree in English, communications, journalism, business, or related field
  • Proficient in Microsoft Office Suite
  • Proficient in Adobe Creative Cloud
  • Proficient in CRM Systems
  • Knowledge of the proposal development process 

Working Conditions

Work is performed within a hybrid general office environment 95% of the time. Work is generally sedentary in nature but may require occasional standing and walking. Lighting and temperature are adequate and there are no hazardous or unpleasant conditions caused by noise, dust, etc. within the office environment. Some travel to other offices with the PA/OH region may be necessary.
