Highlights of what our Operations Administrator will do:
- Responsible for scheduling and accepting work orders
- Answering calls from builders requesting warranty dates or to schedule work orders
- Tracking multiple logs on Excel and generating maps for turnovers
- Prepare submittals for client architect approval
- Track completion dates of landscape activities in database
- Prepare job budget reports for operational team
- Assist in pre-construction meetings tracking action items for various departments
- Tracking AWA numbers, approval dates, and when PO’s were received and billed
- Sending all completed AWAs with POs to A/P and track logs to prepare for monthly financials
- Corresponding with clients regarding unpaid purchase orders
- Tracking monthly post install/maintenance revenue and communicating with Superintendents on completed areas that need to be turned over to maintenance
- Due to the nature of the operation, some travel to AZ and/or CA may be necessary
Skills and experience necessary will include, but not be limited to:
- Bilingual Spanish is highly preferred
- Must be computer savvy with experience in Microsoft Excel
- Must have a proven attention to detail and organizational skills
- Easily adaptable to changes in work environment and managing competing projects/deadlines
- Ability to learn the following programs for customer service warranty/work order tracking:
- LSJMS (Landscape Scheduling and Job Management System)
- On-Screen Takeoff (OST)
