GAI Consultants is seeking a Project Accountant. This position will assist the Project Manager throughout the project life cycle: establishing project budgets, reviewing and preparing the client invoices, coordinating accounts receivable and work-in-progress review.  Assist with conducting a monthly and/or bi-weekly project financial review of: project earning report, accounts receivable, work-in-progress, and backlog. This position can be worked from any of these four GAI offices: Charleston, WV; Jacksonville, FL; Pittsburgh, Pa; Orlando, FL.

Essential Duties and Responsibilities:

  • New Project Setup
  • Training
  • Help
  • Project Submission
  • Create Work-Breakdown-Structure (WBS)
  • Input Budgets (Contract, Cost & Billing)
  • Contract is uploaded into Vantagepoint
  • Create Billing Terms & Review Contract for Invoicing Instructions
  • Review the ACCT-Project Budget for Accuracy & Save in Financial Folder
  • Notify the Project Manager upon Completion
  • Invoicing
  • Preparation Draft
  • Review comments for mischarges
  • Review sub-consultant invoices (rates & limits)
  • Correct rates
  • Employee labor & expenses are on the same task/sub-task
  • Accounting Notes in EI field
  • Setup Invoicing Review Meetings
  • Accounts Receivable & Work-In-Process (WIP) Review
  • Establish who is doing the follow-up with the client (Project Accountant or Project Manager)
  • Generate the Past Due Report
  • Double Check
  • Email went to the client
  • Uploaded into the client’s system
  • Input the comments into Vantagepoint
  • Project Financial Review w/ Project Managers
  • Monthly Review Project Earning Report with the Business Sector Leader
  • Review AR & WIP
  • Review Backlog
  • Participate in WO Meeting with BSL & PM
  • Miscellaneous

Education, Traits, and/or Experience:

  • Bachelor's degree in Accounting, Finance, or related field

Experience required:

  • BA degree + 4-5 years experience

Language Skills:

  • English as a first language or demonstrated verbal and written skills in English as a second language.
  • Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or governmental regulations.
  • Ability to demonstrate strong writing/communication skills.
  • Ability to write reports, business correspondence, and procedure manuals.
  • Ability to effectively present information and respond to questions from groups of managers, clients, customers, and the general public.

Computer Skills:

To perform this job successfully, an individual should have knowledge of various software programs which may include: Accounting software; HRIS software; ATS software; Database software; Internet software; Inventory software; Payroll systems; Project Management software; Spreadsheet software; and Word Processing software.

Certificates, Licenses, Registrations:

Current, valid Driver’s License.

Other Qualifications:

  • Must be United States citizen or have permanent residency status.
  • Must be able to pass pre-employment background check as well as possible post-hire, client-based background checks as required.
  • Must be willing to work in a drug free environment and agree to drug and alcohol testing if required.

Travel Requirements:

Must pass MVR check to be confirmed as insurable to drive on company time/company vehicles; must be willing to travel as required by job.
