Service Coordinator (Dispatcher)

Job Summary:  

The primary responsibility of the Service Coordinator is to perform the necessary scheduling and dispatching of field labor as well as providing administrative functions for the Service Group.  This position requires a dependable team player with effective communication and leadership skills.  Maintain a positive and professional demeanor through challenging situations that may arise.  This position also requires an intermediate level of computer experience, including experience of the Microsoft Office package.  Experience with the COINS accounting and scheduling systems software is a plus.

Essential Duties and Responsibilities: 

  • Organize and manage technician’s daily work assignments.
  • Maintain and schedule monthly maintenance agreement inspections.
  • Answer incoming calls and emailed service requests.  Schedule and dispatch customer service calls based on criticality and priority through the service scheduling software while keeping client updated throughout the process.
  • Maintain daily, weekly, and monthly schedules of all field personnel through the service scheduling software.
  • Maintain accurate customer, location and call history information within the service software.  Add and change customer site information as needed.
  • Maintain customer equipment files within the service module software.
  • Update and monitor customer portals with accurate information.
  • Issue purchase orders to technicians and other appropriate personnel.
  • Receive, review and properly code daily service reports from technicians.
  • Enter Payroll - Ensure accuracy of coding from service operations weekly work orders.  Review and allocate timesheets to ensure accuracy.
  • Communicate with field personnel to identify new potential work opportunities.
  • Effectively manage customer inquiries/requests and communicate with appropriate company personnel, when necessary.
  • Effectively communicate service problems, customer complaints and labor relations problems with the Field Supervisor, Customer Service Manager or Service Manager.
  • Maintain refrigerant transaction records and logs in COINS.
  • Maintain time off requests and scheduling for technicians after approval from Customer Service Manager.
  • Maintain necessary phone lists and weekly on-call list, notify all parties of any adjustments or changes, including after-hours services.
  • Provide weekly reports to management as requested or required.

  • This position requires a minimum of a High School Diploma or Technical School certification, training or equivalent combination of a minimum of 2 years education and training.
  • Initiative-taking with a strong desire to succeed and the ability to work effectively with minimal supervision.
  • Ability to interact and communicate professionally with clients and members of the service team.
  • Strong teamwork, communications, and customer service skills.
  • Ability to work in a dynamic, collaborative environment.
  • Ability to multi-task and organize work.
  • Valid driver’s license and safe driving record.
