Position Overview

EMCOR Hyre Electric Co. of Indiana, Inc. seeks motivated candidate to process invoices and maintain accounting records. The ideal candidate must compute, classify, and record numerous data to keep financial records complete. He or she will perform any combination of routine calculating, posting, and verifying duties to ensure vendors are paid accurately. 

Essential Duties and Responsibilities

  • Compute, classify, record and verify numerical data for use in maintaining accounting records.
  • Match vendor invoices and purchase orders, packing slips when applicable.
  • Scan copies of invoices with issues and route to appropriate party, follow-up in a couple of days to resolve open issues.
  • Receive and download vendor invoices via e-mail, route to appropriate party, follow-up in a couple of days to resolve open issues.
  • Enter invoices into accounting system.
  • Entry of new purchase orders and subcontracts.
  • Complete tax-exempt certificates.
  • Answer emails
  • Organize and maintain A/P records.
  • Close A/P cycle timely in order to help with monthly accounting closing.
  • Obtain vendor statements and reconcile open payables with their open receivable statement.
  • Answer phone calls to provide Purchase Orders to field personnel and route to appropriate departments.
  • Handle routing of subcontracts within office and verify vendor compliance.
  • Other duties will likely be assigned.

PREFERRED EDUCATION and/or EXPERIENCE

  • Experience working in an administrative job, supporting management preferred.
  • Two-year college degree or bachelor’s degree (or equivalent electrical construction-related work experience) preferred.
  • Working knowledge of the construction industry, operations management, and safety practices a plus.

COMPUTER SKILLS

  • Must demonstrate proficiency in Microsoft Office applications, particularly Microsoft Outlook and Excel.
  • Adobe experience preferred.
  • Accurate and efficient keyboarding.
  • Experience with accounting software preferred.
  • Accounts payable experience a strong plus, payroll experience a plus as well.
  • Ability to communicate effectively with various departments and outside vendors.
