Damien Center, Damien Cares, and Damien Pharmacy provide client-centered social services focused on care coordination, clinical and pharmacy services, mental health, housing, and nutrition to the Indianapolis community.

As a condition of employment, Damien Center requires all new hires to be vaccinated against Covid 19 in compliance with the CDC vaccination guidelines including all boosters. All current Damien Center team members are fully vaccinated against Covid 19 and up to date with all boosters effective November 30, 2022.

 Also, as a condition of employment, Damien Center requires all team members to be vaccinated against influenza and receive a tuberculosis skin test (or chest x-ray) annually, barring an approved exemption. Damien Center offers onsite vaccinations for all these vaccines on a regular basis including an optional Hepatitis B vaccination.

Position Summary:
The Medical Assistant is responsible for the overall tracking, management and timely care provisions for a variety of patients including those living with HIV, at-risk for HIV, living with Hepatitis C, those using substances, and members of the LGBTQ+ community. The CMA will work within Damien Cares which provides HIV care with a focus on primary care of those living with and at-risk for HIV. The position works closely with on-site medical providers to ensure patients are seen on a routine and scheduled basis dictated by their disease process and individual needs. This position will rotate between our eastside Cafe location at 38th and Post Road and our main location at 26 N. Arsenal Avenue. 

Duties and Responsibilities:
This job description describes the general nature and level of work performed by employees assigned to this position. It should not be construed as an exhaustive list of all required duties, responsibilities, and skills.

• Maintain a comprehensive log of all patients that includes appointment schedule and diagnostic testing schedule and maintain all digital client records and assist in transitioning hard copy records to digital format
• Assess patients as directed by Physician or Nurse Practitioner
• Prepare patients for provider visit, ensuring all required diagnostic testing is complete and results are available to provider upon visit (vitals, review medications, ensure lab results are available, review history...)
• Provide relevant patient education during clinic visits or as otherwise ordered
• Maintain statistical data as directed by Physician or Nurse Practitioner and develop all corresponding reports as requested
• Provide leadership in implementation and evaluation of infectious disease guidelines, professional standards and policies that impact patient care
• Participate in quality assurance and compliance activities
• Record patient information such as vital signs, weight and changes in medical history prior to each appointment
• Clean and prepare examination rooms prior to patient appointments
• Work in the front office taking care of tasks such as answering phone calls and greeting patients as they enter the facility
• Maintaining the medical inventory and placing orders for new materials as needed
• Ensure clinic is open, exam rooms are stocked and ready for patients in accordance with infectious disease protocol and OSHA guidelines.
• Ensure clinic area maintains infection control standards as designated by OSHA
• Maintain temperature logs for fridge
• Maintain log for emergency drug kit
• Maintain inventory ledger of injectable medications
• Write all lab orders
• Room all lab patients
• Ensure supplies are ready for providers, Ex: PrEP bags, PAP kits
• Prepare specimens for transport to laboratory
• Rx Refills (faxed and electronic)
• Ensure patients are aware of their lab results.
• STI reporting to IDOH
• Schedule and Treat all positive STI's utilizing STD treatment guidelines provided by CDC.
• Close clinical area at the end of the day
• Other duties assigned by the providers
• Obtain Rx history as necessary
• Answer questions relating to/completing prior authorization of procedures, medications, and/or referrals.
• Contact patients and relate any necessary adjustments to medications
• Work with MCM/CCC to ensure patients have nutrition available
• Ensure billing coincides with inventory control of all vaccinations and injectable medications
• HEDIS chart audits
• All clinical procedures/vaccine administrations/suture removal/nebulizer tx/ear irrigation/dressing changes...
• Contact all patients that do not show up for labs or office visit including rescheduling, and notifying MCM/CC of NCNS patients unable to contact
• Complete any orders regarding referrals to specialist
• Complete any incoming fax requests
• Complete any incoming requests from patients
• Triage patient phone calls
• Collect all specimens (as needed venipuncture procedure)
• Maintain patient records according to HIPAA standards.
• Explain common medical procedures to patients including any required patient education
• Assist in basic examinations
• Complete billing as required for any visit relating to STI/injection/immunization
• Filling Out Insurance Forms
• Completing letters as necessary
• Perform venipuncture as necessary
• Continuity of care between departments
• Attend all meetings as directed
• Complete tasks as assigned by Clinic director/clinic manager

Education and/or Experience
• Medical Assistant Diploma with certification 
• Preferred experience with an EHR or EMR
• Possess a minimum experience of 1 year full-time experience within the last two years as a Medical Assistant in an Outpatient setting (preferred)
• Excellent assessment and communication skills
• Ability to function in a high stress environment while maintaining accuracy
• Computer proficiency
• Other than English language proficiency preferred
Work experience may substitute for education requirements on a case-by-case basis.

Knowledge, Skills, and Abilities:
Possess superior organizational and administrative skills. Excellent interpersonal and communication abilities. Excellent computer skills in a Microsoft Windows environment. Ability to work independently and achieve high standards of productivity, achieving deadlines and with superior product results. Strong calendaring, organizational, and document management skills required. Proactive approach to solving problems and communicating to leadership. Knowledge of office management systems, procedures, and office equipment required. Excellent time management skills and ability to prioritize work.
