Position Summary:

Reports to the Director of HR. Works closely with Accounting, Compliance, Business Technology, HR, Sales, and external vendors. Coordinate one or more administrative services of the corporate offices, mail distribution, facilities planning and maintenance, custodial operations, and other office support services.

 

Essential Functions (include but are not limited to):

  • Performs broad office management functions. 
  • Ensures an adequate, uninterrupted supply of kitchen and office supplies based on the direction of supervisors.
  • Maintain the office supply closet.
  • Cleans and organizes the lobby area and training rooms including sanitizing high touch areas of all spaces to provide comfortable, safe, and productive environment to employees and contractors.
  • Provides reception services such as registering the visits of guests and greeting, if necessary.
  • Logs in and out visitor proximity access cards.
  • Monitor the facility to ensure that it remains safe, secure, and well-maintained.
  • Collect and distribute corporate mail.
  • Is the point of contact for office shipping (UPS, USPS, FedEx, et. al.)
  • Answers corporate main phone line and directs as appropriate.
  • Coordinates corporate cleaning services.
  • Coordinates corporate grounds-keeping services.
  • Coordinates corporate HVAC services.
  • Evaluates program services (such as cleaning, HVAC, etc.) vendors and cost, researches new options, and proposes changes as appropriate to ensure company receives cost-effective quality service.
  • Provides broad support to other departments including Compliance, Finance, Accounting, Business Technology, Human Resources, Sales and external vendors. This may include preparing expense reports, supporting events, labor hours reporting, etc.
  • Greets visitors to corporate office and directs them and informs individuals as appropriate.
  • Coordinates corporate birthday celebrations.
  • Serves as back up for compliance or other corporate staff as needed.
  • During onboarding of new corporate employees, gives them tour of corporate offices.
  • Coordinates interview schedules.
  • Supports and coordinates Board meeting activities and preparation.
  • Provides support with senior management who visit regarding accommodation, transportation, meeting rooms, etc.
  • Supports functional / corporate project-based work.
  • Protect organization's value by keeping information confidential.
  • Perform other incidental and related duties as required and assigned.
  • Maintain a working knowledge and be in compliance with corporate standards for business conduct and federal antitrust laws.

  • Keep the HR Director and managers informed at all times of potential issues and concerns.
