Job Summary:
Responsible for providing administrative support to the Women & Infants Hospital Anesthesia and Med Surg Departments, such as preparing correspondence and gathering data. Perform secretarial functions, including screening calls and visitors, typing and filing. Duties require a thorough knowledge of the Supervisor’s areas of responsibility to serve as a resource for department and conduct special projects.
Duties and Responsibilities:
Composes and types a wide variety of correspondence and prepares forms, tables, charts, schedules, etc., which are often confidential in nature.
Assists in preparing complex administrative reports, statements, rosters, etc, requiring difficult data and information gathering and complex calculations
Assists with administrative functions, such as authorizing routine office expenditures and monitoring Departments budgets.
Provides diversified clerical support. Serves as a resource for Hospital staff and outside contacts.
Types reports and other state records for JCAHO and state inspections.
Receives and processes incoming mail.
Arranges meetings and conferences, schedules appointments and maintains office calendar. Manages physician calendars and divisional calendar and works with Telecommunications to coordinate schedules with the hospital call (Amion) system.
Attends meetings and take minutes: prepares and distributes minutes to appropriate personnel.
Performs all other related duties as assigned.
Requirements:
High school degree required with at least one year of college or business school with training in secretarial functions.
Minimum of one year job-related experience or equivalent is required.
Familiarity with hospital or Health Care procedures and background in Medical terminology preferred.
Must have excellent secretarial skills as well as strong communication and interpersonal skills.
