Business Job Title:            Executive Assistant

Job Summary: This role will support members of the site Operations and HR teams by performing administrative tasks with precise execution, creativity, and demonstrating initiative.

Job Responsibilities:

  • Primary representative of the members of the site Operations and HR teams - responsible for representing the leaders and be a positive liaison for communications and interactions between other leaders, employees, visitors, and other business partners.
  • Prioritize office workflow and make effective decisions to increase efficiency, accuracy, and productivity of the Operations and HR teams.
  • Understand and anticipate the Operations and HR teams’ needs and deliver high-quality results.
  • Accurate development and dissemination of presentations, communications, and other dashboards used in decision making and communications.
  • Drive the organization of the leaders’ daily schedule information, ensure calendar adherence, materials prepared and provided, and ensure that urgent, confidential items are brought to the leaders’ attention.
  • Accurately and professionally manages multiple simultaneous high priority tasks.
  • Responsible for meeting & event coordination, both on and off-site, including agenda creation, logistical & technological requirements being met, catering arrangements, and managing assigned budget.
  • Responsible for domestic and international travel arrangements. Organizes and independently prepares detailed travel plans, itineraries, and agendas; and compiles documents for travel-related meetings, while optimizing costs.
  • Handling of other general administrative duties as required.
  • Lead confidential assignments to assist in the operational productivity of the organization.
  • Responsible for managing expense reconciliation via expense reports & Purchase Orders.

Job Requirements:

  • Bachelor's Degree or equivalent experience.
  • 3+ years’ previous experience in an administrative role.
  • Demonstrated ability to manage changing priorities and frequent interruptions with a sense of urgency and high level of accuracy.
  • Demonstrated ability to handle and maintain confidential information.
  • Exceptional organizational skills.
  • High level proficiency in Microsoft Office suite of products.
  • Dependable, self-motivated, and professional.
  • Strong, above average interpersonal skills.
  • Strong oral and written communication skills.
  • Capacity to handle detail-oriented work, multi-task and prioritize.
  • Team and results oriented.
  • Ability to adapt to organizational changes.

Physical Requirements:

  • Work at a computer in an office environment for extended periods of time.
  • Ability to move safely throughout all areas of the office and plant as needed, with or without accommodation.
