We are seeking a detail-oriented Part-Time Product Purchasing Coordinator to join our team! The Product Purchasing Coordinator will play a key role in processing orders, managing inventory, submitting expense reports, and collaborating on special projects.
This role has a set schedule of Monday - Wednesday, 8 hours a day in our West Los Angeles office.
Job Description
- Coordinate incoming samples through the approval process with Creative Director i.e.: sample comments and communicating to vendors as to product approval or needed improvements
- Create purchase orders in Lawson system
- Maintain that shipping reports are consistently being sent. Update and review weekly shipping reports and review with Manager
- Prepare all Commercial Vendor and freight invoices for submission for payment
- Maintain Shipping report to track vendor shipments information
- Assist in the coordination and completion of special projects as appropriate
- Perform and monitor the water, tape, and refrigeration test of all Teleflora products, communicate results with Director of QC
- Assist with sample needs of Marketing department
- Prepare expense reports in Concur as needed for VP
- Maintain Purchasing files in digital filing system
- Process and submit cost sheets on Anytime and Holiday product to Marketing & Sales departments with VP
- Process all product purchase order and invoices
- Manage and review shipping reports with Teleflora Director of QC in Hong Kong with Manager
- Review Anytime product and Holiday product, as decided between team members
- Open and send out daily product sample packages
- Monitor orders for premium products for Wonderful brands
- Coordinate and send design specifications for domestic and international sourcing of product. Track all product specifications with vendors via email
- Organize and maintain product sample library
- Manage and monitor Product Purchasing Report monthly
Qualifications
- Minimum of 1 year of experience (internships applicable), with experience supporting Executives and participating in office management
- Experience with Expense Reimbursement Systems required, Concur preferred
- Strong knowledge of Microsoft Office products, specifically PowerPoint and Excel, with the ability to format presentations and develop basic reports
- Proven ability to exhibit poise and confidence while aiding in a variety of functions
- Bachelor's degree in Communications, Business Administrator, or a related field preferred
- Possess high level of organization, attention to detail and discretion with a high sense of urgency
- Work effectively in a fast-paced environment under pressure, stress, or strict time constraints.
Pay Rate: $25.00/hour. Final compensation will be dependent upon skills & experience.
