Job Description

The purpose of this job is to a) oversee all payroll information for payroll accounting, tax, operations reporting and auditing, and b) ensure all governance for internal and external payroll tax compliance is in place.

Essential Functions

  1. Oversee payroll tax processes (including end-of-year W2s, T4s and RL1s), payroll tax reporting, reconciliations, information system and policy updates
  2. Serve as subject matter expert for payroll tax, payroll accounting and reporting; research and provide feedback on complex tax issues or changes; update payroll system settings to maintain compliance with tax regulations and legislation
  3. Manage and maintain the multi-state/multi-company tax accounts, across all US states and Canada Provinces, including but not limited to online access, filling frequency changes, and all agency correspondence
  4. Maintain compliance with all federal/state/local tax agencies
  5. Manage and oversee employment tax processing using ADP
  6. Register/manage registrations of all new tax accounts.  Set-up/map new taxes in ADP software
  7. Reconcile quarter and annual returns produced by ADP, including 941s, 940s, state and local returns
  8. Identify/correct errors in taxes prior to ADP fillings, and correct/amend as needed after filling
  9. Coordinate all tax internal and external audits with outside legal counsel, managing and providing data required by auditors
  10. Coordinate and provide payroll tax data requests to Corporate Tax, Legal and management
  11. Maintain bonus tracker master spreadsheet and provide monthly bonus expense to Finance and Compensation in assisting with budget projections
  12. Maintaining workers’ compensation (WC) rates for various states and oversee workers’ compensation premium audit, file WC premium returns for monopolistic States and Canada Provinces
  13. Maintaining State Unemployment Rates in BSI
  14. Model behaviors that support the company’s common purpose; ensure guests and team members are supported at the highest level
  15. Complete other duties as assigned

Qualifications

  • Bachelor’s degree in finance or accounting required; 
  • Fundamental Payroll Certification or equivalent experience required
  • Minimum ten years’ experience in multi-state and Canadian payroll required
  • Minimum three years’ experience in a payroll leadership role required
  • Minimum three years’ experience required using payroll and timekeeping system software (e.g., INFOR GHR, S3, Lawson); five years’ experience preferred
  • Advanced Excel and Microsoft Office skills
  • Advanced knowledge in report writing/creating and data extraction (e.g., Crystal Reporting, SQL Statement)
  • Advanced knowledge of multi-state, multi-company payroll systems and federal, state, and local tax filing requirements, laws, and regulations
  • Basic programming and coding knowledge (e.g., SQL, COBOL)
  • Strong attention to detail and accuracy
  • Excellent written and verbal communication skills, including the ability to communicate financial principles and practices with non-finance team members
  • Ability to take initiative and work independently, and as a part of a team
  • Ability to handle sensitive and confidential information ethically and responsibly
