• Focus team on monthly productions goals per program ensuring Weatherization team and subcontractors meet benchmarks and program closeout dates.
• Allocate hours for time management according to program budgets, submit approvals by deadlines, and ensure team is notified of staff availability based on shared calendar.
• Manage Procurement, Contract, IT, and Purchasing requests as well as overseeing Purchase Card purchases, receipts, and reporting. Follow progress of requests to ensure timely response to and from support services.
• Manage administrative requirements from BakerRipley, TDHCA, and other partners as Director and other Managers focus on program specific duties. Report requests, deadlines, and completed tasks to Director weekly.

• Effectively support the Leadership Team with Agency time management process, including time off requests. Maintain shared monthly calendar with team availability.
• Reviews reports of on-going work to ensure production expectations are being met; Ensures that team is aware of production requirements to meet program goals.
• Generate, analyze, and submit monthly and yearly Program reports.
• Effective training support to Weatherization Team and vendors including procuring training services and managing payments.
• Collaborating with leadership team create monthly program stories to share with Marketing team.
• Maintains effective office operations, including but not limited to generating forms, ordering supplies, arranging travel, preparing agendas, and coordinating meetings.
• Manage Weatherization Microsoft SharePoint site
• Reconcile weekly payments in databases.
• Effectively manage all-team meetings and the logistics for those meetings.
• Implement efficiencies in office operations.
• Effective logistical and organizational skills
• Ability to deal with confidential and sensitive matters in a professional manner
• Ability to multitask and manage multiple competing priorities
• Ability to integrate within a diverse team and exhibit exceptional collaborative skills
• Knowledge of office administration, policies, practices, and procedures
• Proficient in Microsoft Office environment to provide information to leaders and program personnel
• Excellent verbal and written communication skills. Temperament to communicate with a variety of personalities in a tactful, pleasant and professional manner
• Effective calendar and meeting management
