Cardinal Hickey Academy in Owings Maryland is hiring a part-time bookkeeper for 16-20 hours per week.
This role will report to the Principal and the pay rate is $25.00 to $30.00 per hour.

Responsible for all Accounts Payable including gathering invoices and obtaining proper approvals,
entering invoices generating weekly checks, obtaining Canonical Administrator’s Signature and
preparing for mail.
2. Responsible for all Accounts Receivable including tuition payments received outside of FACTS,
donations, field trips, regional parish support, fundraising, etc. Code deposits and give them to front
office for preparation of deposit and taking deposit to bank. Post deposit in system.
3. Responsible for all General Ledger items including journal entries for payroll, SCRIP, monthly entries,
etc. Responsible for preparing monthly financial statements. Preparing monthly bank reconciliations.
Printing, copying, and distribution to finance council members and attendance at CHA Finance
Committee meetings. Communicate reminder e-mails for the meetings. Process end of month reports.
4. Responsible for all Human Resources including processing of bi-weekly payroll. Includes paperwork
for hiring/terminations. Maintaining personnel files, maintain employee database in CHRIS, maintain
and process leave slips. Distribute any Human Resources information to employees. Oversee annual
Open Enrollments. Keep track of leave. Prepare annual employment letters. Preparation of yearly W2
Preparation of 1099 forms.
5. Maintain and report Workman’s Comp, FMLA, etc. as needed.
6. Consult and assist employees with Human Resource issues as needed.
7. Responsible for maintaining Admissions, Enrollment & Tuition management in FACTS or other software
that may be required by ADW. Monitor that families are completing enrollment.
8. Prepare annual tuition agreements. Monitor that families are completing their agreements. Maintain
annual Parish Confirmation forms, Regional Tuition Assistance applications. Prepare annual ADW
required forms for ADW tuition assistance.
9. Meet with Pastors and Principal for Regional Tuition Assistance Awards. Record payments received at
school in FACTS. Prepare monthly mass billings in FACTS for Educare. Bill for student activities, such
as field trips, dances, etc.
10. Monitor delinquent tuition and prepare letters for families and report card hold letters as needed.
11. Work with Development Coordinator to record Fundraising activities in accounting software.
Periodic Responsibilities
1. Responsible for completion of Annual year end financial reports for Archdiocese. Process year end
report into system
2. Responsible for annual budget preparation in collaboration with the Principal. Obtain staffing
information, capital purchases, and changes from Principal. Prepare salary budget, determine possible
tuition increase rates, set budget for all line items. Discuss with Finance Council for final approval.
Entry into accounting system.
3. Attend off campus Archdiocesan meetings and/or training sessions as needed. (At least 4 per year).
4. Participate in Archdiocesan webinars as needed.
5. Attend school faculty meetings when requested by Principal.
6. Attend Advisory Board meetings to share financial reports (4 x a year).
7. Prepare communication to families in accordance with Archdiocesan policies.
Part time non-exempt position. 20 hours per week.
Minimum Associates degree in Accounting. Three to five years’ experience in accounting required.
Prior Human Resources experience preferred. Proficient in Excel and Word.
