Project Coordinator 

The Project Coordinator is responsible for initiating, conducting, and coordinating the clerical and administrative functions required for the effective operation of jobs and projects.  He/she will assist other branch personnel including key managers in a variety of project related roles.

Job Responsibilities

  • Responsible for assisting with office reception functions
  • Complete set up of and possibly schedule jobs / projects
  • Manage W.I.P. (Work in Progress) reports and job billings
  • Processing of various project specific document requests/requirements
  • Support and assist the collections team as required
  • Assist in compiling contracts, proposals, and job packets
  • Maintain various types of files / records (electronic / hard copy)
  • Identify changes in projects that impact cost
  • Responsible for data and budget entry as needed
  • Make sure change order / change estimates are applied to base scope
  • Work with new and existing customers to maintain excellent customer satisfaction
  • Work with customers and inner office staff to keep projects moving forward

Job Qualifications 

  • Excellent computer skills with working knowledge of business software applications, including the Microsoft Office Suite
  • Excellent/effective written and verbal communication skills
  • Experience completing construction billing documents such as AIA forms 702 & 703, lien released and other accompanying documents 
  • Experience with Certified Payroll and/or prevailing wage reporting 
  • Experience with OCIP/CCIP reporting
  • Experience with construction accounting portals such as Textura, Endeavor and GC Pay, is a plus
  • Ability to multi-task, function and thrive in a fast-paced environment
  • Possess solid time management skills
  • Ability to adapt to changing processes and to identify areas of process improvement
  • Possess critical thinking and problem-solving capabilities
  • Detail oriented
  • Maintain a courteous, friendly, helpful attitude, at all times, when dealing with customers, vendors and coworkers
  • Willing to pass a post-offer drug test, background, and reference check
