Note: APA operates on a 37.5-hour work week with one hour lunch breaks each day. APA sets salaries based on several considerations, including years of relevant experience, level of education, and previous staff and/or governance experience at APA. 

The Program Coordinator is essential to the successful operation of APF’s grantmaking programs. This consists of: 

  • Coordinating APF’s grants management activities: assist PO with developing requests for proposals (RFPs), disseminate funding announcements, serve as an administrator of APF’s online application portal and grant management system, ensure all applications are complete, communicate with nominees and applicants about the status of their applications and the receipt of their monies, if awarded.
  • Coordinating APF’s grant evaluation activities: serve as the primary point of contact for all successful applicants, follow up on outstanding reports, track APF’s evaluation data on previous grantees, run analytics on APF grants.
  • Acting as a member of APF’s financial team: processing all grant checks and accounts payable; file confidential financial information

Education and Experience Required

  • Bachelors degree is required; Psychology major preferred. 3-4 years of experience in a non-profit
  • 3-4 years of experience in a nonprofit office or in foundation environment.
  • Experience with psychological research to understand and help screen grant applications.
  • Excellent communication and diplomatic skills to interact with applicants, donors, reviewers, and others.
  • Excellent organizational skills.

Computer Skills Required

  • Advanced MS Office
  • Experience with Adobe Acrobat
  • Proficient with database software (Raiser’s Edge, GLM preferable)
  • Proficient in PsycInfo and ability to use statistics to analyze data
  • Proficient in accounting software (bill.com preferable)

Responsibilities

  • Coordinate APF’s grants management activities.
  • Research, edit, and update Requests for Proposals (RFPs) and calls for nominations.
  • Researches, develops, and expands dissemination avenues to solicit applicants.
  • Assists the Program Officer in developing procedures related to grant management activities.
  • Maintain APF’s online application portal.
  • Prepare grant applications materials for reviewers.
  • Communicate with applicants and reviewers on application status, and post announcements.
  • Maintain data on applicants and grantees.
  • Assists Philanthropy Coordinator in tracking past recipients and entering information in APF’s grants database and fundraising software.
  • Coordinate APF’s grant evaluation activities.
  • Assist the Program Officer and Grant and Evaluation Committee in designing evaluation templates.
  • Review and track final reports.
  • Prepare impact evaluation templates, send, collect and review results.
  • Run PsycInfo reports on grantees and analyze data on grantees.
  • Conduct data analysis on APF’s grantmaking trends.
  • Help develop agendas for the Board of Trustees and Grant and Evaluation Committee meetings.
  • Maintain and analyze evaluation data.
  • Assist APF’s communications efforts
  • Suggest grantees to highlight on social media and in other communications vehicles
  • Assist with APF’s newsletter, social media, annual report, and other marketing materials.
  • Maintain program content on APF website
  • Act as a member of APF’s financial team.
  • Process invoices related to grants payments
  • Track program payments, monitor program budget, and follow up with institutions/individuals regarding the status of their payments.
  • File confidential financial information.
  • Support audit preparation
  • Other Duties as Assigned:    
    • Write agenda items; assist in the preparation of agendas and take minutes for committees, staff meetings and conference calls; scheduling and administrative support for meetings, including Board of Trustee and committee meetings, Convention, and other governance activities as assigned.
