The American Hospital Association (AHA) is a national organization that represents and serves all types of hospitals, health care networks, and their patients and communities. The AHA has two main offices, located in Washington, D.C. and Chicago. We are currently seeking an Administrative Coordinator for our downtown Chicago office. This position is a hybrid role (three days in the office, two days working remote). 

Starting base salary = $45,000 – $56,000 (commensurate with related experience).

The Administrative Coordinator, ASHRM is responsible for assisting in daily business activities and administrative tasks. Ensuring outstanding customer service to members, this role helps in addressing customer or member inquiries. Working in tandem with the team, this role helps to support member engagement initiatives, elections, volunteer recruitment and advisory board organization.

Generates solutions to provide staff with assistance in getting what they need to do their jobs.   Navigates AHA systems and AHA service providers to rapidly identify and implement solutions to get staff on task and back to work.  Collaborates with an external array of solutions providers and business partners to set and ensure deadlines are met, quality is maintained, and business continues to flow smoothly.

Supports ASHRM management with financials including supporting the budget process and forecasting. Coordinates and oversees project plans as needed.

  1. Supports the Director in executing the call for volunteers and the election processes.  Supports the ASHRM awards and recognition program – handling logistics for award delivery, notifications, and organizing incoming applications.
  2. Provides project specific information to members, constituents, faculty/speakers, and other identified stakeholders as needed.
  3. In collaboration with AHA Strategic Events & Travel, organizes Advisory Board meetings, including but not limited to collaboration on meeting logistical needs, tracking participant travel, coordinating F & B, communications, minutes, action items, scheduling meetings, and briefings preparation.
  4. Works cross collaborative to handle logistics and/or shipping processes for onsite education sessions and/or private offerings, coordinates, and tracks arrivals.
