Job Responsibilities:

  • Prioritized project support
  • Business group supply orders
  • Physical mail distribution
  • Obtain up to date job descriptions through HR and enter in the database
  • Invoicing and purchase order creation
  • Work with leadership and other staff to create, promote, and share content relevant to the team
  • Copyright right submissions
  • Requests for publications and list pulls
  • Order entry support
  • Tax exemption entry into system
  • Other basic administrative support

Must Have:

  • Bachelor's degree or a minimum of 5 years of administrative/secretarial work experience in lieu of a degree
  • Experience executing projects with direction, updating documents in systems (e.g. Excel, Word, PDF), and maintaining online systems (calendars, appointment books, purchasing, invoicing)
  • Excellent oral/written communication, organizational, time management, collaboration, customer service, problem solving, listening, and proofreading/editing skills
  • Ability to develop work processes, multi-task, and be detail oriented
  • Ability to work within a fast-paced, team environment with highly-educated volunteers and staff; engage with colleagues at all levels; and communicate concerns to management
  • Intermediate proficiency in MS Office Suite (Excel, Word, PowerPoint), MS SharePoint, Adobe Acrobat Professional
  • Experience with database management, file sharing systems, payment and contracting systems, and travel expense management
  • Occasional evening, weekend, and overtime work
  • <10% travel

Nice to Have:

  • Knowledge of process improvement
  • Experience with registration and travel expense management
  • Basic level Power BI
