ESSENTIAL DUTIES AND RESPONSIBILITIES;

The following description of work to be performed by this individual is  not intended to be all-inclusive.  Rather, it focuses on the major tasks that must be accomplished.  There are many necessary activities to satisfy any of the following guidelines.

General

  • Adhere to all policies and procedures of Alexandria Industries
  • Treat others respectfully and actively listen when someone is speaking to them
  • Support and promote corporate values and the behaviors that guides the actions of our values

Administration

  • Greet and assist visitors as they arrive
  • Answer and route incoming phone calls
  • Provide administrative support to all employees and departments; data entry, printing, scanning, scheduling
  • Organize the company related events
  • Keep files and supplies organized and up to date
  • General maintenance of offices, conference room, lunchroom, etc.

Accounting

  • Accounts Payable/Accounts Receivable
    • Process and pay AP invoices on a timely basis
    • Process daily invoices to customers
    • Process cash receipts and post transactions into Quickbooks
    • Monitor accounts receivable aging; contact customer if necessary
    • Reconcile bank statement monthly
  • Maintain production inventory in Quickbooks

Purchasing

  • Monitor inventories; order product when needed
  • Maintain material supply and vendor programs
  • Keep other departments informed of delays or changes in scheduled arrival times of products or services required for the manufacturing process

OTHER JOB DUTIES:  (Not considered essential to the job)

  • Perform all other related assignments (including special projects) as required in a professional and cooperative manner

MINIMUM QUALIFICATIONS:

1.   Education:

  • High school diploma or equivalent degree

2.   Experience:

  • Basic accounting skills or related experience
  • Purchasing and inventory experience a plus
  • Previous experience in a manufacturing environment a plus
  • Quickbooks knowledge and or experience a plus

3.   Other required Knowledge, Skills, and Abilities:

  • Strong written and verbal communication skills
  • Strong computer skills (Outlook, Excel, Word)
  • A highly motivated self-starter
  • Excellent prioritization, communication, organizational, and analysis skills
  • Ability to maintain and process confidential information
  • Strong team-oriented mindset
  • Ability to be physically present at work

EQUIPMENT USED

  • Office equipment (this may include computer, phone, printer, scanner, copier and fax machine)
