ESSENTIAL DUTIES AND RESPONSIBILITIES;
The following description of work to be performed by this individual is not intended to be all-inclusive. Rather, it focuses on the major tasks that must be accomplished. There are many necessary activities to satisfy any of the following guidelines.
General
- Adhere to all policies and procedures of Alexandria Industries
- Treat others respectfully and actively listen when someone is speaking to them
- Support and promote corporate values and the behaviors that guides the actions of our values
Administration
- Greet and assist visitors as they arrive
- Answer and route incoming phone calls
- Provide administrative support to all employees and departments; data entry, printing, scanning, scheduling
- Organize the company related events
- Keep files and supplies organized and up to date
- General maintenance of offices, conference room, lunchroom, etc.
Accounting
- Accounts Payable/Accounts Receivable
- Process and pay AP invoices on a timely basis
- Process daily invoices to customers
- Process cash receipts and post transactions into Quickbooks
- Monitor accounts receivable aging; contact customer if necessary
- Reconcile bank statement monthly
- Maintain production inventory in Quickbooks
Purchasing
- Monitor inventories; order product when needed
- Maintain material supply and vendor programs
- Keep other departments informed of delays or changes in scheduled arrival times of products or services required for the manufacturing process
OTHER JOB DUTIES: (Not considered essential to the job)
- Perform all other related assignments (including special projects) as required in a professional and cooperative manner
MINIMUM QUALIFICATIONS:
1. Education:
- High school diploma or equivalent degree
2. Experience:
- Basic accounting skills or related experience
- Purchasing and inventory experience a plus
- Previous experience in a manufacturing environment a plus
- Quickbooks knowledge and or experience a plus
3. Other required Knowledge, Skills, and Abilities:
- Strong written and verbal communication skills
- Strong computer skills (Outlook, Excel, Word)
- A highly motivated self-starter
- Excellent prioritization, communication, organizational, and analysis skills
- Ability to maintain and process confidential information
- Strong team-oriented mindset
- Ability to be physically present at work
EQUIPMENT USED
- Office equipment (this may include computer, phone, printer, scanner, copier and fax machine)
